Operations & Administration Manager, Haque College of Engineering and Technology
Position Description
The Operations & Administration Manager (OAM) leads the management of the Haque College of Engineering and Technology which will develop new degree programs (BS Mechanical Engineering, BS Electrical Engineering, BS AI Engineering, Minor Aerospace Engineering, Concentration Cybersecurity, etc.), maintain new facilities (Engineering Garage & Autonomy Hanger), coordinate growth campaigns, and liaise between the Dean's Office and Biola University's eight schools. The OAM is responsible for administrative coordination for accreditation logistics, enrollment and marketing campaigns, procurement, grant administration, establishing internal workflows, and administrative support for the AI Lab.

Educational Requirements
Bachelor''s degree or commensurate executive administrative experience.
Work History: A minimum of five years of broad, extensive administrative experience with increasing levels of responsibility.
Work Requirements
Exempt, full-time- 40 hours/week, 12 months per year.
This position requires personal attendance at Biola's campus in La Mirada, California, but will consider a limited hybrid/flexible work arrangement
ROLES & RESPONSIBILITIES
Accreditation
Accreditation of existing and novel programs will require periodic and ongoing administrative coordination and logistics with external organizations i.e., ABET documentation, scheduling, site visits, budgeting, etc. New standalone majors will require periodic and ongoing administrative coordination with the Provost's Office i.e., WASC documentation, scheduling, committee scheduling, material reviews, etc. Developing new degrees, minors, and concentrations will require close coordination between the College and the Provost's Office.
Laboratories and Facilities Budgetary Oversight
The College will expand the facilities it manages. Construction and safety certifications for the Engineering Garage & Robotics Hangar will include construction timeline coordination with the Office of Environmental Health and Safety (EHS), certification reviews, and procurement activities in coordination with University Operations and Finance. The College may assume facilities (i.e., AI Laboratoryin the future. The Biomechanics and Human Performance Laboratory is expected to increase utilization by the College as well. The OAM will work closely with the Haque College of Engineering and Technology Lab Supervisor, the Engineering Machinist, and the SSTH Director of Lab Operations & Safety Specialist to ensure timely documentation and procurement compliance. Periodic and ongoing budgetary support for procurement above material thresholds will be required. Collaboration with university EHS, IT, and Risk, etc., is anticipated to ensure compliance with policies and procedures. Coordination support for events conference services, and enrollment marketing is anticipated.
Coordinate Growth Campaigns
Enrollment marketing and Advancement will expand partnerships with external vendors for PR and marketing. Coordination from the Dean's Office will be essential for compliance and ongoing budgetary support. Scholarship management is also expected to increase for in-demand majors with historically low national enrollment programs. Marketing and advancement campaigns to drive enrollment will require coordination for strategic communications and tracking from conversions. Establishing and maintaining a well-documented continuous improvement process for campaigns, in partnership with the Manager of Strategic Initiatives and the Recruiter for Technology, and with internal (Biola Marketing Enrollment, Production services) and external (PR and Marketing firms) offices, will be essential.
Grants Reporting
External grants may increase as Biola expands its programs and national recognition. Administrative support for grants reporting schedules in collaboration with the Dean's Office, and University offices such as Financial Aid and Advancement will be essential for grants compliance. New federal funding agencies require periodic and ongoing audits (e.g., faculty standing, program reporting, budget deployment), and timely coordination and data-gathering activities will be needed between the Dean's Office, Financial Aid, and the College.
College of Engineering and Tech Events
In coordination with the Haque College of Engineering and Technology Academic Coordinator, the OAM will coordinate and schedule a Tech chapel at the start of each Fall and Spring semester. This includes scheduling, announcements, event services, selection of student chapel participants, and the Assoc Dean's message.
Additional College of Engineering and Tech events year-round will require planning, coordination, logistics, and promotion support, as needed.
Academic Administration
Teaching Unit Credit (TUC) analysis, course restructuring and reconciliation
New course and summer camp logistics, scheduling, budgeting, and marketing coordination
Curriculum restructuring workflows, Learning Management System communications
Budget and procurement review, expense management, and approvals
Internship, Corporate Recruitment Events, and Certification coordination
Technology Advisory Council logistics, scheduling, budgeting, and workflow coordination
Prospective student newsletter, division Social Media updates, and recruitment calendar
Technology scholarship and grant application calendar curation and socialization
QUALIFICATIONS
Proven experience in academic administration
Expertise in internal and external assessment and accreditation procedures
Excellent written and verbal communication skills for executive audiences
Strong interpersonal skills to build relationships with faculty and industry partners
Ability to manage multiple projects simultaneously, and prioritize projects by importance as identified by the AD & EA.
Ability to receive and implement suggestions from the AD & EA
Ability to self-initiate with minimal oversight and possess exceptional organizational skills e.g., able to multi-task and manage numerous projects, is decisive, detail oriented and can work independently
