Position Overview
We are seeking a Senior On-Site Service Specialist to provide high-quality document production, mailroom, equipment, and customer support services at a client site. The successful candidate will operate high-volume duplicating and scanning equipment, process incoming and outgoing mail, perform document preparation and finishing, maintain office equipment, and respond to customer requests.
Key Responsibilities- Operate high-volume copy, print, and scanning equipment to complete customer document requests accurately and efficiently.
- Perform document copying, scanning, sorting, collating, binding, finishing, and other production tasks.
- Operate image-handling software and utilize Microsoft Office and email systems for daily operations.
- Receive, check, open, process, organize, and store documents in designated files and locations.
- Process and distribute incoming and outgoing mail, faxes, packages, and other materials.
- Apply appropriate postage and operate postage meters as required.
- Perform daily inspections of convenience copiers to ensure equipment is functioning properly and producing quality output.
- Clear paper jams, replace consumables, perform basic troubleshooting, and communicate equipment issues to technicians.
- Coordinate equipment and customer service calls and follow up on reported issues.
- Maintain daily meter readings, service logs, inventory records, billing logs, and management reports.
- Monitor and maintain inventory of paper, toner, office supplies, and other materials.
- Distribute office supplies, mail, fax transmissions, and completed documents to designated personnel or locations.
- Calculate charges for completed jobs and maintain applicable billing documentation.
- Deliver completed print and document jobs to predetermined customer locations within the site.
- Perform filing, document purging, archiving, and retrieval activities based on customer requirements.
- Operate production and finishing equipment, including shrink-wrap machines, paper cutters, hole drills, bindery equipment, joggers, tape machines, stackers, electric staplers, and scales.
- Maintain clean, organized, and well-stocked copier and work areas.
- Support shipping and receiving activities for materials, supplies, and finished documents.
- Respond to customer questions regarding job status, requirements, and feasibility.
- Assist with meeting room setup, reception, light maintenance, and other building support functions as needed.
- Follow all workplace safety procedures when operating equipment and handling materials.
- May occasionally travel between customer buildings as required.
- Perform other duties as assigned.
Required Qualifications- High school diploma, GED, or equivalent work experience.
- At least one year of relevant work experience preferred.
- Basic computer proficiency, including Microsoft Office Suite and email.
- Experience operating copiers, printers, scanners, postage machines, or similar office equipment.
- Strong customer service and communication skills.
- Good organizational skills and attention to detail.
- Ability to work effectively in a fast-paced, customer-focused environment.
- Ability to troubleshoot basic equipment issues and escalate technical problems appropriately.
Preferred Qualifications
- Previous experience in copy center, print production, mailroom, document processing, or office services.
- Knowledge of copier and printer maintenance or basic electronics.
- Experience with shipping, receiving, filing, and document archiving.
- Ability to lift and move materials weighing up to 50–55 lbs.
