Job Description and Duties

What does the Business Programs Division do? We provide a wide range of services and process various filings in support of our customers, including:

  • Corporation, limited liability company and partnership registration, change, and termination filings.
  • Trademark and service mark registration and change filings.
  • Uniform Commercial Code financing statements and notices of tax liens and change filings.
  • Maintenance of the Advance Health Care Directive Registry, Domestic Partners Registry, and Immigration Consultants Registrations.
  • Oversee notary commissions within California, as well as authenticating the signatures of California public officials and notaries public.
  • Additionally, we provide customer service to our customers via online, phone, email, and in person and provide records of our filings online. Visit our bizfile California portal for more information about our filings, various searches, and additional resources.

What will your duties be at the Business Programs Division? In support of our vision and mission, you will play a vital role for our Division by working with a high degree of initiative, independence of action, and originality to provide a broad range of administrative support to the section. Under the general direction of a Supervisor II, your duties include the following:

  • Process and maintain personnel attendance and other related personnel records.
  • Prepare, process and track work orders, requests, and office machine maintenance/repairs.
  • Prepare supply and equipment orders and maintain inventories of supplies and equipment.
  • Act as liaison to the Information Technology Division and Business Operations. Act as an Office Automation Division Coordinator for the section.

Desirable Qualifications:

  • Good understanding of organizational techniques and time management skills, including techniques for prioritizing multiple projects to ensure completion by established deadlines.
  • Ability to handle sensitive and confidential assignments with tact and diplomacy.
  • Ability to interact and communicate effectively with all levels of departmental staff and the public.
  • Attention to detail and accuracy.
  • Ability to take initiative and work independently and/or in a team environment.
  • Punctuality and dependable attendance.
  • Ability to operate various office machines.
  • Knowledge of and experience with all Microsoft Office applications; intermediate to advanced knowledge of Excel and Visio strongly desired.

Working Conditions

Positions are 100% in-office. Alternate Work Week (AWW) schedules (9/8/80, 4/10/40) may also be available. Additional schedule offerings are subject to change due to business needs.

You must obtain a valid typing certificate confirming your ability to meet the minimum typing speed, prior to being hired.   • The position(s) require(s) a Background Investigation be cleared prior to being hired.

A valid typing certificate confirming the ability to type at a speed of not less than 40 words per minute is required.
