Job Description and Duties
Under the direct supervision of the Supervisor I in the Division Support Office of the Professional Learning Support Division (PLSD), and working cooperatively with the program units and supervisors throughout the Department, the Office Technician is responsible for establishing clerical procedures and independently performing the more complex clerical duties within the PLSD. This position will work closely with the Teacher and Leader Policy Office (TLPO). The TLPO is assigned federal and state educator equity programs to ensure that every California student has equitable access to highly qualified teachers and leaders. This includes supporting statewide initiatives such as the 21st Century School Leadership Academy Program, the Educator Effectiveness Block Grant, and the Promoting Equitable Access to Teachers and Providing Relevant, Inclusive Support that Matters Project.
Perform general office duties such as answering inquiries, routing calls, and monitoring common e-mail inboxes. Schedule appointments and meetings using Outlook. Schedule, obtain, and set up conference calls, laptops, monitors, and other technology. Review correspondence for grammar, spelling, and Correspondence Guide compliance. Organize, prepare, duplicate, assemble, and disseminate materials as directed. Review, edit, and track grant and contract related documents. Arrange meetings and conferences, prepare agendas, attend meetings to take notes or summarization for minutes, and prepare/distribute minutes. Assist in the organization of Department-sponsored conferences and meetings; assist with conference/travel arrangement according to state and department policy; ensure all conference tasks are completed; reserve rooms and set up technology for office staff when necessary; prepare agendas; gather and assemble information and materials needed.
Communicate with the public, frequently handling sensitive issues, screen visitors and incoming telephone calls. Assist the Executive Office and Branch with phone coverage as requested. Respond to requests for information via the office telephone and email accounts, and direct to appropriate staff or take appropriate action. Serve as the Division Safety Coordinator and Division Training Coordinator.

This position is headquartered in Sacramento and may be eligible for a hybrid telework schedule for eligible applicants residing in California. A hybrid telework schedule includes working remotely and working a minimum of 2 days per week in the office.
