    Description:

    The Office Supervisor is responsible for providing high-level office support and supervision of other support staff in an area or office. Work may include compiling information, data entry, coordinating activities, checking documents for accuracy, and overseeing financial matters. Also responsible for being familiar with the functions, practices, and policies of the organizational unit to which assigned. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment.

    Duties:

    • Coordinates supply orders, vendor payments, and PCard. Produces accurate financial records and ensures adherence to University purchasing guidelines.
    • Processes POIs, ePARs, payroll changes, and reconciles PCard transactions for CEP programs. Ensures accuracy and compliance, resulting in timely financial processing that supports program operations and audit readiness.
    • Resolves issues and answers inquiries regarding policies and procedures.
    • Provides supervision of staff, including defining job duties, overseeing employee performance, providing guidance and support, and communicating organizational needs in accordance with the University''s objectives, policies, and applicable laws.
    • Trains office support staff, temporary employees, and student workers.
    • Tracks expenditures, monitors accounts, and prepares budget reports for CEP leadership. Provides reliable data to guide decision-making, resource allocation, and grant management, and performs other duties as assigned.

    Required Qualifications:

    • High School Diploma or GED
    • Minimum of five years of office support experience.

    Knowledge, Skills and Abilities:

    • Knowledge of accounting and financial management processes preferably in an education setting (e.g., payroll, purchasing, reconciliations).
    • Knowledge of Human Resources processes including POIs, ePARs, and onboarding procedures.
    • Knowledge of university policies and compliance standards related to fiscal accountability and audit readiness.
    • Skilled in Microsoft Office/365, particularly Excel and Outlook, for managing budgets, reports, and communications.
    • Skilled in maintaining accurate records, preparing financial reports, and processing transactions.
    • Supervisory skills to manage and lead staff.
    • Ability to manage multiple deadlines, tasks, and program needs simultaneously with accuracy.
    • Ability to communicate effectively, both orally and in writing, with staff, faculty, students, and external partners.
    • Ability to handle sensitive financial and personnel information with confidentiality and integrity.
    • Possess an understanding of workflow optimization and efficiency in financial and administrative systems.
