We are seeking a highly organized and service-oriented Office Services Associate to support the daily operations of our workplace. This role plays a key part in maintaining a professional, efficient, and welcoming office environment while also serving as back-up reception support.

Key Responsibilities

Office Operations & Administration

  • Oversee the day-to-day administrative functions of the office, ensuring a clean, organized, and professional workspace
  • Monitor and manage office supplies, pantry items, and essential resources; restock as needed
  • Coordinate with janitorial and maintenance teams to maintain office cleanliness and functionality
  • Implement and maintain effective filing and organizational systems (digital and physical)

Employee & Customer Support

  • Deliver exceptional customer service to employees, addressing requests and inquiries promptly
  • Act as the primary point of contact for office-related issues, resolving concerns efficiently
  • Identify opportunities to improve office processes and enhance the employee experience

Vendor & Facilities Coordination

  • Liaise with external vendors (janitorial, maintenance, office equipment, etc.) to ensure timely service delivery
  • Monitor vendor performance and address service gaps to maintain high standards

Events & Meeting Coordination

  • Assist with planning and executing office events, meetings, and conferences
  • Coordinate logistics including room setup, catering, and audio-visual needs
  • Prepare meeting rooms and materials to ensure seamless execution

EHS & Audit Support

  • Support compliance with local, state, and federal safety and environmental regulations
  • Promote workplace safety procedures and emergency protocols
  • Conduct safety checks and assist with risk assessments
  • Support internal and external audits (ISO, SOC, and related compliance activities)

Required Skills & Qualifications

  • Previous experience in office administration or facilities support preferred
  • Professional demeanor with strong customer service skills (“corporate polish”)
  • Ability to lift 50+ pounds as needed
  • Valid driver’s license and reliable transportation (required for occasional remote site support)
  • Strong proficiency in:
    • Microsoft Excel
    • Microsoft Outlook (calendar management)
    • Data entry and internet research
  • Excellent organizational, communication, and problem-solving skills
