This role is responsible for coordinating and executing all aspects of daily office operations ensuring a professional efficient and well-supported work environment across the firm. The ideal candidate will have 35 years of office management experience demonstrating strong organizational communication and technical skills.Key ResponsibilitiesOffice Operations & FacilitiesOversee daily office operations to ensure overall office readiness organization and functionalityManage kitchen snack bar and production room operations including ordering stocking and upkeepCoordinate building maintenance requests and vendor services track issues through resolutionManage space planning and office logistics including desk assignments office moves and workspace setupFront Desk Communication & Office CoordinationOwn all aspects of phone coverage including answering transferring calls and message coordinationMaintain standards for front-facing communication and responsiveness across the officeCoordinate internal office support items such as staff notifications and general administrative communicationMail Shipping & LogisticsManage all incoming and outgoing mail and package operations including intake logging sorting and distributionCoordinate courier services and overnight shipping including preparation of shipping labels and documentationEnsure timely and accurate delivery tracking and follow-upSupplies Inventory & Budget OversightManage ordering and inventory of office supplies kitchen items and general office materialsMaintain consistent stock levels across the officeTrack and manage budgets related to office supplies kitchen operations and office servicesVendor & Office Technology CoordinationManage relationships with office vendors including supply vendors equipment providers and service contractorsCoordinate non-IT office technology including shared equipment printers and conference room resourcesMaintain equipment inventory and ensure functionality of shared office resourcesNew Hire Office ReadinessCoordinate office setup for new hires including workspace readiness and supply provisioningPartner with internal teams to ensure seamless onboarding experience from an office operations perspectiveAdministrative & Operational SupportProcess expense reports for internal departments such as talent & development and business developmentCoordinate food and logistics for internal meetings training sessions and office eventsSupport general office initiatives that contribute to a positive and professional work environmentQualifications35 years of office management experience.Strong computer skills including proficiency in Microsoft Outlook Word Excel and Bluebeam.Exceptional organizational skills with the ability to multitask perform under pressure and manage multiple Outstanding written and verbal communication skills attention to detail and a positiveMotivated self-starter capable of working independently and as part of aAbility to handle confidential information withProfessional communication skills with all levels of staff clients andCode Consultants Inc. is an EEOAA Employer.
