Salary: $75,000–$90,000 per year

A+ Family Dentistry is seeking an experienced, results-driven Dental Office Manager / Treatment Coordinator to lead our Poway practice.

This position is ideal for someone who can manage the overall office while also being highly skilled at presenting treatment, building patient trust, and helping patients move forward with comprehensive dental care.

One of the most important responsibilities of this position is treatment coordination and case acceptance, especially for larger treatment plans.

We are looking for someone who is comfortable presenting and helping patients move forward with treatment plans of $10,000 or more, while maintaining an ethical and patient-centered approach.

The ideal candidate has experience in a high-performing dental practice, understands production and collection goals, and takes ownership of the financial performance of the office.

What We Are Looking For

The ideal candidate will have:

  • Minimum 3 years of Dental Office Manager or senior Treatment Coordinator experience
  • Experience working in a dental practice producing at least $2 million annually
  • Proven ability to meet or exceed monthly production and collection goals
  • Strong experience presenting and closing comprehensive treatment plans
  • Experience with $10,000+ treatment cases strongly preferred
  • Formal sales, treatment coordination, case acceptance, or patient communication training preferred
  • Strong understanding of dental insurance, collections, AR, financial arrangements, and patient financing
  • Strong leadership skills and experience managing a dental team
  • Excellent organization, follow-through, and accountability
  • Ability to follow established systems and processes
  • Proactive mindset and willingness to take ownership of office performance

Treatment Coordination & Case Acceptance

Responsibilities include:

  • Present comprehensive treatment plans clearly and confidently
  • Build trust with patients and help them understand the value and importance of treatment
  • Discuss financial arrangements, insurance benefits, and financing options
  • Identify and address patient concerns regarding cost, timing, fear, or treatment
  • Follow up consistently with patients who have not scheduled recommended treatment
  • Help improve case acceptance and office production
  • Comfortably present larger cases, including treatment plans exceeding $10,000
  • Work closely with doctors to ensure patients understand recommended treatment
  • Maintain accurate follow-up and treatment coordination systems
  • Experience presenting implant, cosmetic, Invisalign, restorative, or full-mouth treatment is strongly preferred.
Office Leadership & Management

The Office Manager is also responsible for the overall leadership and performance of the practice, including:

  • Oversee daily dental office operations
  • Lead, coach, and develop administrative and clinical team members
  • Hold team members accountable for performance and responsibilities
  • Manage staffing, scheduling, workflow, and office productivity
  • Monitor production, collections, accounts receivable, and other key performance indicators
  • Lead daily and monthly office meetings
  • Ensure excellent patient service and resolve patient concerns
  • Support recruiting, onboarding, training, and employee performance management
  • Maintain efficient office systems and ensure established processes are consistently followed
  • Work closely with doctors and leadership to achieve monthly and annual practice goals
  • Take ownership of schedule performance and make patient calls when necessary to help fill the schedule
Production & Collections

This position requires someone who understands that strong office management includes strong financial performance.

The Office Manager will:

  • Monitor daily, weekly, and monthly production
  • Monitor collections and accounts receivable
  • Help the office consistently meet production and collection goals
  • Identify schedule gaps and production opportunities
  • Ensure patient portions are accurately calculated and collected
  • Review outstanding balances and insurance claims
  • Help maintain strong collection performance
  • Understand dental insurance benefits, deductibles, maximums, frequencies, claims, denials, and adjustments
  • Use practice data and KPIs to identify areas requiring improvement
Required Qualifications
  • Minimum 3 years of Dental Office Manager or senior Treatment Coordinator experience
  • Demonstrated dental leadership experience
  • Strong treatment presentation and patient communication skills
  • Experience with dental production and collections
  • Strong understanding of PPO insurance, billing, claims, and AR
  • Experience managing employees and holding team members accountable
  • Strong organizational and time-management skills
  • Professional communication and appearance
  • Reliable and punctual
  • Strong problem-solving and decision-making abilities
  • Ability to work within established systems and follow company processes
  • Proficiency with dental practice management software
Preferred Qualifications
  • Experience in a dental practice producing $2 million+ annually
  • Proven history of meeting or exceeding production and collection goals
  • Experience presenting and closing $10,000+ treatment plans
  • Implant or full-mouth treatment coordination experience
  • Formal sales or case-acceptance training
  • Experience with patient financing
  • Multi-provider dental practice experience
  • Experience improving production, collections, case acceptance, or schedule performance
