We're looking for an Office Manager to be the steady heartbeat of our Brooklyn studio - the person who keeps the space running beautifully, the team supported, and our clients impressed the moment they walk in. This is a part-time role (Tuesday, Wednesday, Thursday afternoons, 3–5 PM) with the flexibility to flex up around events, client presentations, and team moments that don't always fit inside a 3-to-5 window.
You'll work closely with our NYC leadership and collaborate across disciplines - designers, strategists, project managers, and visiting colleagues from our global offices. If you love the details, care about how a space feels, and get a kick out of making things run smoothly, this role is for you.
What You'll Do
Facilities & Office Space
Check supplies (coffee, paper, printer ink, pantry) and place weekly orders
Coordinate with building management on anything affecting day-to-day office life
Keep the studio client-ready - a tidy kitchen, a running dishwasher, a space that looks and feels cared for
Manage bike storage, commuter logistics, and guest access
Handle incoming mail and packages
Admin
Process invoices and receipts, and route them to accounting/bookkeeping
People & Culture
Coordinate team lunches, offsites, and social moments
Manage onboarding logistics for new hires and freelancers
IT & Equipment
Troubleshoot basic tech issues or coordinate with IT support
Keep printers and studio equipment in good shape
Scheduling & Coordination
Manage conference room bookings
Coordinate courier pickups and deliveries (samples, print proofs, swag)
Schedule building maintenance and vendor visits
Book flights and accommodation for the team's business travel
Vendors & Logistics
Manage relationships with local vendors (print shops, fabricators, catering)
Handle FedEx/UPS shipments and coordinate with the loading dock when needed
Prepare for client presentations - tech setup, catering, seating
Communications
Coordinate with freelancers on access, NDAs, and desk assignments
Events
Provide practical support before, during, and after studio events
Review event expenses and receipts
Source suppliers (catering, logistics, rentals)
What We're Looking For
Experience in office management, studio management, or a similar operations role - ideally in a creative, agency, or design-driven environment
A sharp eye for detail and a sense of hospitality - you notice when something's off and quietly fix it before anyone else does
Strong organizational skills and the ability to juggle vendors, deliveries, and small fires without losing your cool
Clear, warm communicator - comfortable working with colleagues, freelancers, vendors, and clients
Self-directed and reliable during the hours you're on-site, with flexibility to flex up around events
Based within a reasonable commute to Dumbo
Authorized to work in the U.S.
