Office Manager/Paralegal- State''''s Attorney

ANNUAL SALARY: $66,839 - $72,704 *Additional salary growth available through regular increases within the classification up to $96,177 and COLA adjustments.

MINIMUM QUALIFICATION, EDUCATION, EXPERIENCE NEEDED

• Graduation from one of the following ABA approved legal assistant/paralegal programs:

• Bachelor's degree

• Associate's degree

• Post-baccalaureate program

• If not ABA approved, graduation from a legal assistant/paralegal program that consists of a minimum of 60 semester credit hours or the equivalent, of which 18 semester credit hours are substantive legal assistant/paralegal courses.

• Bachelor's degree in any field, and either one-year employer training as a legal assistant/paralegal or 18 semester credit hours of legal assistant/paralegal substantive courses.

• Successful completion of a national certifying examination that is specifically designed for legal assistants/paralegals and which includes continuing legal education for maintenance of that certification status.

• Minimum 3 years of progressively responsible work as a legal secretary, legal assistant or paralegal.

• Familiarity with Westlaw, Lexis, or other online legal research tools.

• Knowledge of management, business, and human resources principles.

• Knowledge of accounting principles.

• Extremely proficient in Microsoft Office Suite or other similar software programs and advanced understanding of document and data management systems.

• Ability to work extended hours occasionally.

• Satisfactory performance in prior employment.

• Physical activities typical of an office setting.

PREFERRED

• Experience using eProsecutor, Axon, Odyssey, and New World.
• Detailed problem analysis, assessment, and decision-making skills.
• Excellent prioritizing, planning, organizing, time and project management.
• Excellent communication skills, both written and oral; strong work ethic; and poise and professionalism when interacting with internal and external stakeholders.
• Ability to work independently as well as part of a team.
• Desire to proactively seek out opportunities to learn as well as improve processes and add value.
• Experience supervising personnel.
• Working knowledge of North Dakota's open records laws.

JOB DUTIES

• Serve as one of two office managers.
• Supervise tasks and responsibilities of the legal assistants.
• Assess the workflow and workload of the legal assistants.
• Coordinate open records requests and responses.
• Provide training regarding office procedures and information systems.
• Coordinate proper coverage and backup support for office staff.
• Evaluate and manage staff performance, recruitment, selection, and orientation in coordination with Human Resources.
• Coordinate office staff activities and allocate resources to ensure maximum efficiency and execution.
• Perform accounting duties, including accounts payable and budget preparation.
• Design, implement and manage office procedures and policies to improve operational efficiencies.
• Serve as a contact point for other government and legal agencies, and the public.
• Attend department-specific meetings to provide guidance and support as needed.
• Serve as a member of management team at office leadership meetings.
• Perform other duties as assigned by the State's Attorney.
