Scion Staffing has been engaged to conduct a search for an Office Manager for our client, an innovative and fast-growing technology organization. This is a temporary opportunity anticipated to last at least 6 months, with potential to convert to a full-time position. The role is based in Palo Alto, CA, with onsite work preferred and flexibility for a hybrid schedule of approximately 3 days per week onsite, typically Tuesday through Thursday.
POSITION OVERVIEW:
The Office Manager will own the day-to-day experience of the Palo Alto office, helping create an organized, welcoming, and engaging environment for employees and guests. This role combines office operations, workplace experience, vendor and supply coordination, employee events, guest hospitality, and onboarding/offboarding support.
The ideal candidate is proactive, highly dependable, detail-oriented, and comfortable taking ownership of office needs without waiting for direction. This person will also serve as a welcoming face of the office for employees, clients, investors, and other visitors.

RESPONSIBILITIES:
Manage the day-to-day office experience, including common areas, office organization, supplies, snacks, beverages, and other details that contribute to a welcoming workplace.
Greet and coordinate guests, including clients, investors, and other visitors, ensuring a professional and hospitable experience.
Manage office vendors, recurring orders, inventory levels, mail collection, and shipping and receiving of hardware and other materials.
Help coordinate employee offsites, happy hours, work anniversaries, and other activities that support the employee experience.
Support employee onboarding and offboarding logistics, including ordering devices, shipping materials and swag to remote employees, and collecting equipment.
Assist with employee swag, office logistics, and other administrative and operational needs while proactively identifying tasks that require attention
QUALIFICATIONS:
Previous experience running an office or working in a similar administrative, workplace, or operations-focused role.
Highly organized, detail-oriented, reliable, and accountable, with a proactive rather than reactive approach to work.
Warm, hospitable, and professional communication style with the ability to create a positive experience for employees and guests.
Comfortable managing vendors, ordering, inventory, shipping, and basic office logistics.
Technologically comfortable, quick to learn, and able to become proficient with internal systems and proprietary software.
COMPENSATION AND BENEFITS:
This temporary opportunity offers $30.00 per hour and is anticipated to last at least 6 months, with the potential to convert to a full-time position. The organization prefers someone who can work onsite in Palo Alto, CA, with flexibility for a hybrid schedule of approximately three onsite days per week, typically Tuesday through Thursday.
