Office Assistant/MA is responsible for the daily clinical, operational, and financial workflow of the Department, including direct patient care.

Responsibilities:
  • Patient care responsibilities are delivered with a knowledge of patient growth and development and are appropriate to ages and cultural needs of the patients served.
  • Coordinates day to day clinical activities in collaboration with the Physicians and Physician Assistant, coordinating patients flow throughout the visit.
  • Meets on a regular basis with Office Manager and reports any pertinent information as it occurs
  • Responsible for data collection and reporting monthly statistics as required by management.
  • Interacts professionally with patients and families, demonstrating good interpersonal skills with other members of the healthcare team.
  • Within the scope of practice of a Medical Assistant, provides direct patient care for patients, collaborating with Physicians during patient visits.
  • Prepares patients for medical examination and/or interview (e.g., conducts to examining room, provides proper gown); records patient's vital signs, blood pressure, pulse, temperature).
  • Collects specimens from patients and performs procedures using aseptic technique in accordance with protocols (e.g. finger puncture, phlebotomy, taking urine samples, obtaining vital signs, urine dipstick, hemocult control); fills out lab forms and labels blood tubes.
  • Fills out requests for lab tests and arranges for specimens to be picked up; contacts laboratories for results and reports to physician. Maintains logbook for lab specimens. Monitors return results.
  • Monitors inventory of supplies (medical, clerical), and equipment, to ensure stock does not fall below par level.
  • Makes sure that examining rooms and procedure areas are fully equipped and stocked each day cleans rooms as appropriate between procedures. Reorders supplies as needed.
  • Monitors departmental equipment to ensure equipment is in proper working order and
    preventative maintenance is carried out according to schedule.
  • Works well with all computer systems (i.e. IDX, AHS,) and schedules patient appointments for physicians making efficient use of department’s computerized systems.
  • May be required to provide interpreter services for patients as needed.
  • Answers telephones and makes patient appointments, routes calls, takes messages, and
    provides routine information to callers.
  • Registers all incoming patients; gathers required data from patient and family; records required demographics, insurance, referral and informational data in patient chart. Obtains signatures on all required consent forms. Monitors patient referrals and pre-authorization regarding number of visits and expiration dates.
  • Verifies and enters required patient data (e.g. demographic, insurance) into the practice management computer systems.
  • Contacts insurance companies for referral authorization/clarification.
  • Schedules patients for admission to the hospital as directed; confirms appointment or admission with patient.
  • Collects co-pay and posts payment to patient account.
  • Submits complete billing information/batching all encounters to EPS personnel (e.g., copies of referral, insurance card, etc.)
  • Maintains records and files in accordance with department systems; classifies, sorts and files correspondence and other materials as directed.
  • Delivers reports and records to other hospital departments as needed and perform other messenger work as required.
  • Performs a variety of clerical functions as necessary (e.g., photocopying, confirmation calls, etc.)
  • Prepares charts for review for Performance Improvement activities and/or review by regulatory agencies and insurers as directed.
  • Scans appropriate reports and correspondence for inclusion in the Electronic Medical Record (EMR).
  • Arranges for ambulance/ambulate transport of patients as needed.
  • Maintains established departmental policies and procedures, objectives, quality assurance program, safety, environmental, and infection control standards.
  • Customer service: respect, flexibility, knowledge, confidence, professionalism, pleasant attitude, patience, and helpfulness. All responses should be timely, professional, caring, and respectful of diverse cultures.
Qualifications:

Education:
High school graduation or equivalent required.
Phlebotomy training required.
Medical Assistant certificate required

 

Experience:
2-3 years of experience as a Medical Assistant required.

 

Skills:
Phlebotomy required.
Computer literate
Good oral and written communication skills.
Good interpersonal skills.
Speaks, reads and writes English to the extent required by the position; knowledge of a second language preferred.
Ability to use office equipment, computer, fax machine, calculator, etc.
Knowledge of IDX/American Healthware System/EMR preferred.
