Be a part of something special!Position SummaryThe Office Administrator plays a critical operational role in establishing and maintaining the daily administrative functions of a new, secure facility. This position demands a high level of discretion, rigorous attention to detail, and proactive management to support initial office setup, physical security protocols, and seamless workplace operations.Key ResponsibilitiesFront Desk & Access Control: Manage the reception area for a secure environment, strictly enforcing visitor protocols, managing badge issuance, logging guests, and coordinating with management.Deliveries & Secure Logistics: Receive, screen, and log incoming mail, and packages.Onboarding & Offboarding Support: Facilitate HR logistics for new hires and departing staff, including issuing security credentials, preparing workstations, tracking asset inventory, and coordinating access clearances.Facility & Maintenance Oversight: Coordinate general office maintenance, partner with building management for vendor access, and oversee the upkeep of physical infrastructure while adhering to security policies.Administrative & Inventory Management: Maintain optimal stock levels of general office supplies, administrative materials, and staff breakroom provisions, ensuring inventory controls are strictly followed.New Facility Setup: Spearhead logistics, spatial organization, and operational workflow deployments required for the brand-new facility's launch and ongoing stabilization.Events & Meeting Facilitation: Plan, coordinate, and execute internal events and recurring operational meetings, including Project Management Reviews (PMRs).Special Projects: As assigned by management. QualificationsPrior experience in office management, corporate administration, or facilities coordination-ideally within a secure or restricted-access environment.Demonstrated ability to handle sensitive information with discretion, maintaining strict confidentiality.Exceptional organizational skills with the capacity to manage intense initial setup phases and shifting priorities.Professional communication skills and a customer-service-oriented approach to internal and external stakeholders.Proficiency with standard administrative software and asset-tracking tools.Halvik offers a competitive full benefits package including:Company-supported medical, dental, vision, life, STD, and LTD insuranceBenefits include 11 federal holidays and PTOEligible employees may receive performance-based incentives in recognition of individual and/or team achievements.401(k) with company matchingFlexible Spending Accounts for commuter, medical, and dependent care expensesTuition AssistanceCharitable Contribution matchingHalvik Corp is an equal opportunity employer.
