(QPWB), a multi-office national defense firm and the largest minority  law firm in the United States, is seeking a National Operations Assistant to join our Miami office. This position will support the firm's National Operations team and report directly to the Director of Operations. This is a full-time, in-office position offering a competitive salary and comprehensive benefits package.

    About the Role

    The National Operations Assistant will provide administrative and operational support to help ensure the efficient day-to-day functioning of the firm's offices nationwide. This role will assist the Director of Operations and Operations team with office coordination, vendor communication, facilities-related needs, reporting, project tracking, and other operational initiatives.

    Primary Duties and Responsibilities

    • Provide administrative and operational support to the Director of Operations and National Operations team
    • Assist with day-to-day operational needs across the firm's offices nationwide
    • Coordinate and follow up on requests from office administrators, vendors, and internal departments
    • Assist with facilities-related matters, including maintenance requests, office services, equipment, and other operational needs
    • Communicate with vendors regarding service requests, scheduling, and other office-related matters
    • Maintain operational trackers, spreadsheets, reports, and other records
    • Assist with tracking projects, deadlines, outstanding requests, and action items to ensure timely completion
    • Support new office openings, office moves, expansions, and other operational projects as needed
    • Assist with ordering, tracking, and coordinating office supplies, furniture, equipment, and other resources
    • Prepare correspondence, reports, presentations, and other materials as requested
    • Maintain organized electronic files and documentation related to operations, vendors, offices, and ongoing projects
    • Coordinate meetings, prepare materials, and assist with follow-up on outstanding action items
    • Collaborate with departments including Human Resources, Finance, IT, Marketing, Recruiting, and other administrative teams
    • Assist with special projects and other operational or administrative responsibilities as assigned

    Qualifications

    • 1–3 years of administrative, operations, office coordination, or related professional experience preferred
    • Strong organizational skills and attention to detail
    • Excellent written and verbal communication skills
    • Ability to manage multiple priorities and follow projects through to completion
    • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
    • Strong problem-solving skills and willingness to take initiative
    • Ability to communicate professionally with employees, leadership, vendors, and other business partners
    • Ability to work effectively both independently and as part of a collaborative team
    • Professional demeanor and ability to handle confidential or sensitive information appropriately
    • Experience in a law firm, professional services organization, or multi-office environment is a plus, but not required
