The Legal Secretary provides administrative and clerical support to attorneys and legal staff by preparing legal documents, managing calendars, maintaining case files, communicating with clients and courts, and helping ensure the smooth day-to-day operation of the legal office.

Key Responsibilities
  • Prepare, format, proofread, and file legal documents, correspondence, pleadings, motions, subpoenas, affidavits, contracts, and other case-related materials.
  • Manage attorney calendars, schedule appointments, hearings, meetings, depositions, and court deadlines.
  • Organize and maintain physical and electronic case files, ensuring documents are accurate, complete, and easy to access.
  • Communicate professionally with clients, courts, opposing counsel, vendors, witnesses, and internal team members.
  • Answer and route phone calls, emails, and correspondence in a timely and confidential manner.
  • Assist with court filings, e-filing, service of documents, and tracking filing deadlines.
  • Transcribe dictation, draft routine correspondence, and revise documents as directed by attorneys.
  • Support billing, time entry, expense reports, and other administrative processes as needed.
  • Maintain strict confidentiality of client, firm, and case information.
  • Perform additional administrative duties, including copying, scanning, mailing, meeting coordination, and office organization.

Required Qualifications
  • High school diploma or equivalent required; associate degree, legal secretary certificate, or related training preferred.
  • Prior experience in a law firm, legal department, or professional office environment preferred.
  • Strong knowledge of office administration, document preparation, records management, and professional correspondence.
  • Familiarity with legal terminology, court procedures, and legal document formatting is a plus.
  • Proficiency with Microsoft Word, Outlook, Excel, and common office equipment.
  • Experience with legal case management, document management, billing, or e-filing systems preferred.
