Legal Secretary (Litigation) - Del Mar, CA

Location: Del Mar, CA
Schedule: Full-time, 5 days/week (8:00 AM - 4:30 PM)
Compensation: $75,000 - $95,000 (DOE)

Position Overview

A highly regarded law firm in Del Mar is seeking an experienced Legal Secretary with strong litigation expertise to support a dynamic team of attorneys. This role requires a technically skilled, detail-oriented professional who thrives in a fast-paced environment and brings a "can-do" attitude with a strong client service mindset.

The ideal candidate will have extensive experience with litigation filings, strong organizational and technical skills, and a collaborative personality willing to support both legal and administrative functions.


Key Responsibilities

Litigation & Court Filings

  • Prepare, format, and file legal documents in state, federal, and appellate courts, ensuring compliance with court rules and deadlines
  • Handle complex e-filing submissions, including exhibits, appendices, and supporting documentation
  • Track and manage filing deadlines, hearing dates, and court requirements
  • Draft and prepare legal documents such as motions, petitions, and appellate filings
  • Conduct basic legal research and verify case-related information

Administrative & Legal Support

  • Provide daily administrative support to attorneys and legal teams; act as liaison between attorneys, paralegals, and staff
  • Maintain and manage attorney calendars, including scheduling depositions, hearings, and meetings
  • Organize and maintain client files, pleadings, and legal records using document management systems (e.g., iManage)
  • Edit and proofread legal documents for accuracy, grammar, and formatting
  • Prepare expense reports and process attorney reimbursements

Client & Office Support

  • Serve as a professional point of contact for clients, visitors, and internal staff
  • Coordinate meetings, conference rooms, and catering/hospitality arrangements
  • Assist with reception duties as needed, including greeting clients and managing phone/email communications
  • Support document production, copying, and filing when needed
  • Provide backup support to other legal secretaries

Qualifications

Required

  • Minimum 3-5+ years of litigation legal secretary experience
  • Strong experience with court filings (state, federal, appellate) and eFiling systems
  • Advanced proficiency in Microsoft Office (especially Word and Outlook)
  • Experience with iManage or similar document management systems
  • Exceptional attention to detail, organization, and follow-through
  • Strong ability to prioritize, multitask, and meet deadlines under pressure
  • Excellent written and verbal communication skills
  • High level of professionalism, discretion, and confidentiality

Preferred

  • Experience supporting trial litigation (finance, corporate, M&A, IP)
  • Bachelor's degree
  • Experience managing multiple attorneys in a fast-paced legal environment
