Legal Secretary | Fresno, California
LHH is assisting an established California law firm in its search for an experienced Legal Secretary to join its Fresno office. This full-time, hybrid in-office/ from home position which supports partners, associates, and paralegals with litigation, court filings, calendaring, document preparation, and day-to-day administrative needs. The regular office hours are 8:30 a.m. to 5:30 p.m. The Role
The Legal Secretary will coordinate assignments for attorneys and paralegals while helping ensure that legal documents, deadlines, client files, and office operations are handled accurately and efficiently.
Key responsibilities include:
Preparing, formatting, editing, proofreading, and transmitting pleadings, briefs, complaints, orders, subpoenas, correspondence, and other legal documents
Filing documents with federal and California state courts, including appellate and superior courts
Managing attorney calendars, appearances, filing deadlines, and other critical dates
Reviewing filings for proper format, exhibits, supporting documents, and court acceptance requirements
Preparing materials and exhibits for meetings, hearings, appearances, and trials
Maintaining electronic and hard-copy client and matter files
Coordinating meetings, conference rooms, domestic travel, and expense reporting
Assisting with time entry, expense entry, mail, deliveries, telephone coverage, and office projects
Providing coverage and administrative support across legal secretarial desks when needed
Building professional relationships with attorneys, staff, clients, vendors, and visitors

Candidate Requirements
At least five years of experience as a Legal Secretary supporting multiple partners, associates, and paralegals
High school diploma or GED required; a college degree or legal secretarial certification is a plus
Advanced proficiency with Microsoft Word, including macros, and Outlook
Experience preparing and maintaining correspondence, pleadings, discovery materials, transactional documents, and related legal records
Knowledge of court rules, administrative hearings, legal terminology, calendaring, and filing procedures
Litigation experience involving California state, appellate, and federal courts is desired
Municipal law experience is preferred
Experience with iManage, Judicial Council Forms software, CompuLaw, Westlaw Drafting Assistant, and PDF software is helpful
Strong proofreading, grammar, spelling, formatting, transcription, and document-production skills
Ability to manage complex instructions, shifting priorities, deadlines, and confidential information with professionalism and discretion
Ability to maintain regular and punctual attendance and lift or carry up to 20 pounds
