JOB OVERVIEW:

The Global Legal Operations and Strategy (GLOS) team is seeking a contingent Legal Project Manager - the role supports high-priority X-Legal programs and initiatives, including legal matter budget tracking and reporting, documentation and file structure governance, and recurring status reporting to Legal leadership. The successful contractor will partner with internal Legal teams, Outside Counsel (OC), and cross-functional stakeholders to maintain program continuity, manage and analyze data, keep documentation current, and ensure deadlines and deliverables are met without disruption during the coverage period.

Unlike a law-firm paralegal or project coordinator role, this position operates at the program level, owning cross-matter visibility, budget transparency, and process design rather than executing a single matter's tasks. The team actively applies AI-driven tooling to legal operations.

DAY-TO-DAY:
  • Maintain and update program documentation, trackers, and workback plans
  • Track actuals versus budget, collect bottoms-up estimates, and support recurring budget and actuals reporting
  • Prepare and distribute recurring status updates, meeting agendas, and action item tracking
  • Coordinate with Outside Counsel and internal stakeholders to track and maintain financial data
  • Partner with XFN stakeholders to keep workstream dependencies and deadlines visible
MUST HAVE SKILLS:
  1. 5+ years of project or program management experience, with at least 2 years supporting a legal function (in-house legal department or law firm)
  2. Demonstrated ownership of budget tracking and reporting — actuals versus budget, bottoms-up estimates, variance reporting
  3. Experience building and maintaining program documentation, trackers, and workback plans for multiple concurrent workstreams, including direct stakeholder coordination
NICE TO HAVE SKILLS:
  1. Familiarity with litigation and complex litigation structures
  2. Experience coordinating with Outside Counsel and familiarity with fee arrangements
  3. Comfort with AI-enabled productivity tooling and document/workflow automation
EDUCATION / EXPERIENCE:
  • 8-10 years of overall experience
  • Bachelor's degree

Pursuant to the California Fair Chance Act, Los Angeles County Fair Chance Ordinance for Employers, Los Angeles Fair Chance Initiative for Hiring Ordinance, and San Francisco Fair Chance Ordinance, qualified applicants will be considered for assignment with arrest and conviction records. These include the duties and responsibilities listed above, as well as the abilities to adhere to company policies, exercise sound judgment, effectively manage stress and work safely and respectfully with others, exhibit trustworthiness, meet client expectations, standards, and accompanying requirements, and safeguard business operations and company reputation.
