Job Description:

Job Title: Legal Executive Assistant I

Schedule: Monday - Friday, 8:30 AM - 5:00 PM (Onsite)

Location: Columbus, Ohio area (Onsite)

Assignment Type: Contract (13 weeks) with potential for extension or conversion

Position Overview

A leading healthcare organization is seeking a professional and highly organized Legal Executive Assistant I to support its Legal Department. This individual will serve as a key point of contact when interacting with attorneys, leadership, internal stakeholders, clients, and vendors.

As an integral member of the Legal team, this individual will support multiple attorneys with calendaring, communication management, meeting coordination, and general administrative operations. This role requires a high level of professionalism, discretion, and confidentiality while contributing to the department's strategic goals.

Minimum Education & Experience Requirements

  • High School Diploma or GED required
  • 3-5 years of progressive office or related administrative experience required
  • Experience in an Executive Assistant, Administrative Assistant, or similar role preferred
  • Experience supporting multiple executives and/or attorneys preferred
  • Legal administrative experience is a plus but not required
  • Strong organizational, multitasking, communication, and problem-solving skills
  • Ability to prioritize effectively in a fast-paced environment
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint)
  • High level of professionalism, attention to detail, discretion, and confidentiality

Key Responsibilities

Calendaring & Executive Support

  • Manage complex calendars for up to five attorneys
  • Coordinate appointments, meetings, and high-priority scheduling needs
  • Anticipate team needs and proactively manage competing priorities

Communication Management

  • Review, organize, and prioritize communications
  • Answer and route calls for the Legal Department
  • Prepare, edit, proofread, and format correspondence, reports, and presentations
  • Professionally greet and assist stakeholders, guests, and vendors

Meeting & Event Coordination

  • Coordinate meeting logistics, invitations, agendas, and materials
  • Arrange conference rooms, A/V support, and catering
  • Gather and distribute materials
  • Take and distribute meeting minutes as needed

Administrative & Office Support

  • Provide administrative support to attorneys and legal staff
  • Assist with mail distribution, office organization, and supply management
  • Support maintenance of office equipment and shared resources
  • Perform general administrative duties as assigned

Fiscal & Technology Support

  • Assist with purchase orders, expense reports, reimbursements, and travel documentation
  • Utilize Microsoft Office and internal systems (including HR and matter management platforms)
  • Adapt to evolving technology and enterprise tools

Document & Records Management

  • Maintain organized and secure paper and electronic files
  • Handle sensitive and confidential information in compliance with company policies
  • Retrieve and manage records efficiently
  • Support records retention and long-term storage processes

Service & Project Support

  • Deliver responsive, professional customer service
  • Support departmental initiatives and ad hoc projects
  • Collaborate effectively across teams while exercising sound judgment
  • Balance independent work with team-based support across multiple stakeholders
