briefCASE Legal Support, LLC is seeking a highly motivated, detail-oriented, and experienced bilingual Personal Injury Legal Assistant to join our team and provide dedicated support to our client, DJC Law, PLLC, a fast-growing Texas personal injury law firm. As an employee of briefCASE Legal Support, LLC, you will play an essential role in supporting DJC Law’s legal operations and ensuring clients receive exceptional service from case intake through settlement.
The ideal candidate has experience handling personal injury matters, understands the progression of a case from intake through settlement, and is comfortable working in a fast-paced, deadline-driven environment. Strong attention to detail, excellent communication skills, sound judgment, and the ability to manage multiple cases and competing priorities are essential.
Responsibilities
- Client Communication & Case Support
- Serve as a primary point of contact for assigned clients; respond to calls and emails, provide case updates, document communications, and escalate concerns as needed.
- Maintain professional, compassionate, and consistent client communication throughout the pre-litigation process.
- Case Management
- Manage day-to-day case tasks from intake through settlement or litigation referral.
- Maintain accurate case files, update the case management system, track deadlines and follow-ups, and identify missing information or potential delays.
- Assist attorneys with case preparation and ensure files are organized and complete.
- Medical Treatment & Records
- Monitor client treatment, appointments, and treatment gaps; follow up with clients and providers as needed.
- Request, obtain, organize, and follow up on medical records and billing.
- Maintain accurate treatment timelines and ensure medical documentation is complete and up to date.
- Liability & Insurance Documentation
- Obtain and organize police reports, incident reports, photographs, witness information, insurance information, and other liability documentation.
- Communicate with insurance carriers and adjusters as directed by the attorney and maintain accurate claim and contact information.
- Follow up on outstanding liability and insurance documentation.
- Settlement Preparation
- Assist attorneys with settlement demand packages by compiling medical records, bills, treatment information, photographs, wage-loss documentation, and other supporting evidence.
- Prepare medical chronologies and summaries, review files for completeness, and track demands, offers, and related correspondence.
- Update case files and communicate settlement-related administrative matters to clients as directed.
- Administrative & Team Responsibilities
- Manage a caseload while meeting established deadlines, productivity expectations, and quality standards.
- Maintain organized electronic files and accurate case documentation.
- Collaborate with attorneys, paralegals, case managers, records personnel, and other departments.
- Participate in team meetings and training and perform other duties as assigned.
Success in This Role
The successful candidate keeps cases organized, current, and moving forward, communicates effectively with clients and providers, follows up on outstanding tasks, identifies potential issues, and provides attorneys with the information needed to evaluate and resolve cases efficiently.
Requirements
- 1+ years of experience as a Legal Assistant, Legal Secretary, Case Manager, or similar role; personal injury experience preferred.
- Understanding of the personal injury pre-litigation process.
- Experience with medical records, medical bills, insurance claims, or settlement demands preferred.
- Strong written and verbal communication, organization, time management, and attention to detail.
- Ability to manage a high-volume caseload and competing deadlines.
- Proficiency with Microsoft Office and case management software; Filevine experience is a plus.
- Bilingual English/Spanish
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at a time.
