Talis Group’s company client is a regional law firm seeking an Executive Assistant or Legal Assistant to provide comprehensive administrative and legal support to attorneys and firm leadership. The ideal candidate will have experience working in a professional environment and possess exceptional attention to detail, strong communication skills, and a demonstrated background in administration, business, and client service.
The successful candidate will support matters involving business, corporate, commercial finance, banking, lending, and transactional legal matters.
Highlighted Duties:
- Maintain attorney calendars, schedules, appointments, meetings, and deadlines.
- Coordinate due diligence activities, including collecting and organizing files, tracking deadlines, and preparing and maintaining reports.
- Prepare, draft, format, proofread, and organize legal correspondence, reports, pleadings, contracts, and other legal documents relevant to the practice group.
- Maintain accurate indexing, filing, and organization of legal documents in both physical and electronic formats using the firm's document management systems and software.
- Maintain engagement letters and organize electronic and physical client files.
- Assist attorneys with monthly time entry, billing, invoicing, expense reports, and reimbursement processes.
- Prepare and file UCC financing statements, entity formation documents, governance documents, and Secretary of State filings as needed.
- Communicate professionally and effectively with clients, courts, opposing counsel, and other legal professionals.
- Receive, respond to, and screen telephone calls, emails, and client inquiries in a prompt, professional, and courteous manner.
- Schedule client consultations, meetings, depositions, hearings, and other legal events.
- Safeguard confidential and sensitive information in accordance with applicable legal requirements and firm policies.
Highlighted Requirements:
- Associate's or Bachelor's degree preferred.
- Previous experience as a legal assistant, executive assistant, paralegal, or in a comparable professional role preferred.
- Legal industry experience preferred.
- Three or more years of experience supporting business, banking, finance, corporate, commercial transactions, or a similar professional environment preferred.
- Equivalent combinations of education, training, and relevant experience will be considered.
- Excellent written and verbal communication skills.
- Strong organizational, analytical, and client service skills.
- Demonstrated ability to handle confidential and sensitive information with discretion.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint, as well as Adobe Acrobat.
- Strong ability to create, compose, format, proofread, and edit correspondence, letters, memoranda, reports, and other documents.
- Ability to professionally screen incoming calls, obtain and document detailed information, and exercise sound judgment when determining how and to whom matters should be routed based on urgency and subject matter.
