Legal Assistant opportunity with a high-end Law Firm located in Coral Gables, FL.
The
Legal Assistant provides comprehensive administrative support to 2–4 attorneys. Key responsibilities include managing calendars, travel, client intake, billing, and court e-filings. They maintain organized files and deadlines while collaborating with firm staff to keep active litigation matters running smoothly.
Your specific duties will include: - Calendars & Travel: Manage attorney calendars, coordinate internal and external meetings, and arrange all travel logistics and itineraries.
- Client & File Management: Serve as the primary contact for client intake and communications; maintain address books and organize client and matter files.
- Matter Onboarding: Prepare the administrative portions of new matter openings and engagement letters, and coordinate conflict checks.
- Financial & Clerical Duties: Monitor attorney time entry to provide billing support, process expense reports, and manage incoming and outgoing correspondence.
Litigation Support (Shared Responsibility with Paralegals)- Filings & Docketing: Serve as the primary owner for submitting court e-filings and maintaining litigation calendars and docket deadlines.
- Document Preparation: Draft routine correspondence and "shells” for pleadings, motions, and discovery; provide formatting and filing support.
- Deposition & Trial Logistics: Coordinate deposition scheduling and witness locations; assist with trial prep, including assembling binders and exhibits.
- Case Organization & Special Matters: Organize case files and document repositories; support internal investigations and white-collar matters; and provide limited administrative coordination with foreign counsel on South America matters.
Required qualifications for the position include:- High school diploma or equivalent (associate's degree or legal certificate preferred).
- 2+ years of legal assistant experience, preferably in a litigation environment.
- Working knowledge of state and federal court e-filing systems and procedures.
- Proficiency in MS Office (Word, Outlook, Excel), document management, and time/billing systems.
- Strong organizational skills and attention to detail to manage multiple attorneys' deadlines simultaneously.
- Excellent communication skills with a professional, client-service orientation.
Preferred qualifications for the position include:- Experience supporting litigation attorneys in a mid-size or larger law firm.
- Familiarity with billing/expense platforms and conflict-check procedures.
- Experience with PacerPro, Tabs3, NetDocs, and SharePoint.
- Bilingual proficiency (English/Spanish).
Pay Rate Range: $90000 - $110000 for salaried position.
Compensation may vary outside of this range depending on a number of factors, including a candidate's qualifications, skills, competencies, and experience, and location. Employees have access to healthcare benefits, including medical, dental, and vision as well as a 401(k) plan.
