They are seeking an Administrative Assistant to support legal professionals and contribute to the smooth operation of daily administrative and client service activities.
Job Description
The Administrative Assistant will provide high-level administrative and operational support to attorneys and legal teams. This role involves coordinating calendars, preparing documents, managing communications, and assisting with billing and client-related administrative tasks.
The ideal candidate is proactive, highly organized, and comfortable working in a fast-paced professional services environment where priorities may shift throughout the day.
Key Responsibilities
Draft, format, and revise professional correspondence, reports, and legal-related documentation
Manage incoming calls and messages, ensuring clear and professional communication with internal and external contacts
Review and organize electronic and physical correspondence for attorneys and team members
Maintain and coordinate calendars, including scheduling meetings and appointments
Coordinate domestic and international travel arrangements as needed
Prepare and format documents based on attorney dictation or notes
Maintain organized filing systems for both electronic and physical records
Coordinate logistics for internal meetings and client-facing events
Enter attorney time and track reimbursable expenses in internal systems
Assist with billing preparation and review of invoices for accuracy
Update internal client relationship management systems with contact information
Support administrative workflows such as opening client matters and conducting internal checks related to new work
Provide backup administrative support to other legal professionals when needed
Qualifications
Experience:
1–5 years of administrative support experience, preferably within a legal or professional services environment
Recent graduates may be considered if they have completed relevant internships or legal administrative programs
Technical Skills:
Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
Strong calendar management skills using Outlook
Ability to proofread documents for spelling, grammar, and formatting accuracy
Experience with legal or professional services software platforms is a plus
Education:
Associate’s degree required
Bachelor’s degree strongly preferred
