BOSU3685 Investment Office Manager Boston, MA | 100% Onsite | 4-Month Contract | 40 Hours/Week

Sigma Systems is seeking an experienced Investment Office Manager for an exciting onsite opportunity with a prestigious university investment office in Boston, MA. This role is ideal for a highly organized administrative professional with experience supporting executives, managing office operations, coordinating investment-related activities, and handling financial and operational processes within a fast-paced environment.

The Investment Office Manager will work closely with the Chief Investment Officer, Investment Operations Director, Investment Committee members, and investment managers while supporting the day-to-day operations of a thirteen-person investment team.

Key Responsibilities

Investment Operations & Financial Administration

  • Process and track daily cash flows and maintain accurate cash balance records.
  • Support investment operations activities and portfolio administration.
  • Maintain online portfolio management systems and investment databases.
  • Assist with annual tax and audit confirmation processes for over 350 investments.
  • Coordinate with auditors, tax teams, custodians, investment managers, and vendors.
  • Reconcile payments and financial transactions involving banks, hedge fund managers, and service providers.

Executive & Administrative Support

  • Provide executive-level administrative support to investment leadership and team members.
  • Manage complex calendars, scheduling, and meeting coordination.
  • Coordinate Investment Committee meetings and distribute materials.
  • Manage high-volume email correspondence and track action items.
  • Arrange domestic and international travel and prepare expense reports.
  • Maintain office phone lines, records, and administrative documentation.

Office Management & Operations

  • Serve as liaison between the Investment Office and university departments.
  • Manage office supplies, equipment, furniture, and technology requests.
  • Coordinate onboarding logistics for new hires, including laptops, phones, iPads, and office setup.
  • Support department purchasing, invoicing, vendor management, and procurement activities.
  • Maintain organized records and support various office projects and initiatives.

Required Qualifications

  • Bachelor’s Degree required.
  • 5+ years of professional experience in:
    • Office Management
    • Executive Administration
    • Investment Operations Support
    • Financial Services Administration
    • Administrative Operations
  • Strong organizational and multitasking skills.
  • Exceptional attention to detail and accuracy.
  • Strong verbal and written communication skills.
  • Ability to work independently and exercise sound judgment.
  • Professional demeanor when interacting with executives, investment managers, and stakeholders.
  • Strong analytical, numerical, writing, and proofreading skills.
