Human Resources Staffing Coordinator

Primary Purpose
The primary purpose of this job is to support the Human Resources department's
implementation of best practices through consistent and efficient execution of HR operational
processes related to staffing, personnel records and data. This includes calculating, auditing and
maintaining accurate pay data; determining, entering and maintaining demographic,
experience, education, licensing, compensation, seniority and other data in the HR Information
System database; initiating and maintaining position control processes; generating complex
standard and ad hoc reports; auditing and correcting stored data; preparing and submitting
personnel and compliance data.
Minimum Qualifications
- Associates degree or equivalent (Relevant experience may be substituted for post-
secondary education on a year-for-year basis).
- Two years of increasingly responsible experience in human resources operations,
staffing, or compliance.
- One year of experience managing HRIS backend functionalities, custom query building,
and advanced data extraction to deliver complex reporting.
- Two years of experience working at an advanced level in Microsoft Excel. Demonstrated
advanced proficiency in Microsoft Excel, including the regular use of advanced functions
to clean, manipulate, create, upload and audit large datasets.
- Background check through Washington State Patrol, as required by RCW 43.43.830.

Experience in a K-12 human resources setting.
- Prior experience acting as a subject matter expert or primary reporting contact for an
HRIS system.

Essential Functions
The list of essential functions in this job description is not exhaustive and may be supplemented
as determined by an appropriate administrator and Human Resources.
- Maintains, extracts, audits and corrects human resource data, including experience,
certification, training, education, to ensure accurate records for staff in assigned schools
and departments. Follows data governance processes and updates data regularly in
various trackers and systems.
- Maintains the accuracy of data in the HR Information System database.
- Researches and responds to employee data discrepancies which may impact
compensation; follows through with necessary corrections; coordinates with employees
and departments involved; and reconciles all data entered.
- Interprets collective bargaining agreements, state regulations, and district policy to
appropriately and accurately determine compensation, employee FTE, vacation accrual
level, seniority date.
- Conducts salary placements for new employees.
- Prepares necessary documents for payroll.
- Supports the development of the district personnel budget by preparing district
personnel budget data and maintaining data, including assignment data, salary matrices,
and calendars.
- Supports the production of ad hoc reports including the state S-275 Personnel Report,
District Affirmative Action Report and annual updates, Washington State
Comprehensive Education Data and Research Systems (CEDARS) reports which include
HR data elements; and Civil Rights Data Collection (CRDC).
- Responds to requests for customized reports.
- Utilizes advanced Microsoft Excel functions to synthesize, audit, reconcile, and format
raw data extracts from various source systems into polished, executive-ready
dashboards and spreadsheets.
- Supports District in position control org management function for assigned schools,
maintaining org reconciliation, including the initiation of Personnel Action Notices
(PANs) and Position Control Requests to ensure fiscal compliance and integrity.
- Prepares reports as requested for management decision-making; prepares and
maintains statistical and narrative files and databases to document personnel activities.
- Explains personnel procedures and services to District employees, local agencies, and
the public; establishes and maintains liaison with administrators regarding assigned
areas of responsibility.
- Prepares and distributes a variety of documents including employment contracts,
letters, notifications, memos, forms, and reports using a variety of software
applications.
- Produces routine correspondence, memoranda, forms, flyers, and reports.
- Participates in the development, maintenance, and revision of departmental processes
and procedures.
- Maintains regular attendance.

- Establishes and maintains effective working relationships with colleagues, students,
parents, and community members.

Required Knowledge, Skills and Abilities
- Demonstrated advanced skill in MS Excel, including the fluid execution of
XLOOKUP/VLOOKUP, INDEX/MATCH, data validation, pivot tables, and advanced data
manipulation methodologies.
- Demonstrated proficiency in HRIS databases, with a strong technical ability to navigate
complex menus, write report queries, extract data, and diagnose data errors.
- Demonstrated ability to learn and apply new skills.
- Demonstrated effective oral and written communication, including correct grammar and
spelling usage.
- Demonstrated advanced proficiency in the Microsoft Office suite.
- Demonstrated skills in organization and time management.
- Demonstrated knowledge of general clerical skills and use of appropriate technology
and software.
- Demonstrated knowledge of basic human resources processes.
- Demonstrated ability to attend to detail and produce accurate work products.
- Demonstrated flexibility and good judgment.

Working Conditions
The daily work is performed in an office setting. The job incumbent is often required to: deal
with sensitive, confidential information; sit for prolonged periods of time; be exposed to
computer display terminal for prolonged periods; visually concentrate on detail; and be
exposed to interruptions. The incumbent is sometimes required to deal with distraught, angry
or hostile individuals; and meet externally imposed and inflexible deadlines; and hours beyond
the normal workday; Generally, the job requires 70% sitting, 15% walking, and 15% standing.
