We are seeking an organized, dependable Human Resources Assistant to support employee relations, workplace investigations, recruiting, onboarding, compliance, and HR administration. Prior experience supporting employee relations and workplace investigations is required. This hybrid position requires candidates to be local to the Irvine/Orange County area and be available for regular in-person work.
Responsibilities:
- Support employee relations, workplace investigations, disciplinary and performance matters, including interview, fact gathering, documentation, and follow-up.
- Coordinate recruiting, hiring, onboarding, employee status changes, and offboarding; support employee engagement and retention.
- Complete Form I-9 verification and maintain required documentation in accordance with federal regulations; gather and submit new-hire Work Opportunity Tax Credit documentation to the appropriate agency.
- Maintain personnel files, certifications, training records, and policy acknowledgments; track training and renewal requirements.
- Support initial and ongoing audits of personnel policies and practices for federal, state, and local compliance.
- Update and maintain the Employee Handbook, consolidate policies, agreements, waivers, memos, addendums, and other HR templates.
- Improve onboarding workflows, organizational charts, and standard operating procedures to support organizational efficiency.
- Process agency correspondence concerning unemployment’s claims, garnishments, and National Medical Support Notices. Respond to employment verification requests and assist with document production for outside counsel.
- Review timecards in TSheets and Rippling for accuracy, completeness, and compliance with company policies and procedures.
- Research labor-law developments and attend HR seminars and conferences; summarize updates for management and assist with risk assessments and policy revisions.
Human Resources Assistant
- Participate in software adoption and integration demonstrations, optimize Rippling and other reporting tools for workers’ compensation audits, financial reviews, and RFP responses.
- Provide administrative support for HR projects, reporting, audits, and departmental initiatives, including correspondence and document gathering, printing, and assembly.
Qualification Guidelines:
• Education
o High School Diploma required,
o Associate degree or coursework in Business Administration, Human Resources, or a related field preferred.
• Experience
o Experience supporting employee relations and workplace investigations required.
o Additional HR, recruiting, or administrative experience preferred.
• Skills
o Strong communication, organization, documentation, and time management skills.
o Ability to maintain accurate records, manage competing priorities, and learn new systems.
o Proficiency with Google products including Google sheets, Google Drive, and Gmail.
o Familiarity with Rippling and TSheets preferred.
Essential Qualifications:
• Sound judgement, discretion, and professionalism when handling confidential employee and company information.
• Strong interpersonal skills and the ability to handle sensitive employee matters.
• Able to conduct boarding and schedule required activities in Irvine as needed
