HR Administrative AssistantPay: $23–$26/hour, based on experience
Location: Capital Region, NY (hybrid — 3 days in-office, 2 days remote)
Who You'd Be Working With
Our client runs an HR consulting practice built on the same people-first approach that's earned its parent organization repeated recognition as a top employer. The practice helps other local businesses stay compliant, support their teams, and grow sustainably — through dedicated HR management, strategic consulting, and leave administration services. It's a small, fast-moving team with startup energy, but with the backing and stability of an established organization behind it.
What the Job Actually Looks Like
You'd be the person keeping the whole operation organized behind the scenes — juggling calendars, client deliverables, and a dozen moving parts so the consulting team can focus on the clients themselves. No two days would look quite the same.
Keeping the Practice Running- Manage calendars and schedule client meetings, onboarding calls, trainings, and internal check-ins
- Prepare, format, and proofread client-facing work — proposals, reports, policies, handbooks, presentations
- Track projects and deadlines across multiple clients so nothing slips through the cracks
- Take meeting notes and help coordinate follow-up with clients and the team
Hands-On HR Support for Clients- Track leave requests, documentation, and key dates for FMLA, NY Paid Family Leave, disability, and similar programs
- Help with onboarding and offboarding paperwork, new-hire documentation, and employee file maintenance
- Assist with job postings, candidate scheduling, and recruiting coordination for client companies
- Help prepare materials for HR health checks, compliance reviews, and audits
- Keep accurate, confidential records across HRIS platforms, shared drives, and client tracking tools
Helping the Business Grow- Support new client intake and setup as the practice expands
- Help maintain CRM data, contact lists, and reporting on client activity
- Contribute to marketing materials, events, and webinars
- Help build templates, checklists, and processes that let the practice scale
- Pick up other administrative work and special projects as the business evolves
What You Bring- 1–3 years of administrative, office, or HR support experience (internships count)
- Some exposure to HR — through coursework, an internship, or a prior HR assistant/coordinator role
- Comfort with Microsoft Outlook, Word, Excel, PowerPoint, and Teams
- Strong organizational skills and attention to detail, with the ability to juggle multiple clients and deadlines
- Clear, professional written and verbal communication
- Good judgment and discretion with confidential employee and client information
- A proactive, eager-to-learn attitude and comfort in a fast-paced, evolving environment
Nice-to-Haves- A degree or coursework in human resources, business, psychology, or a related field
- Familiarity with leave laws like FMLA and NY Paid Family Leave, or general HR compliance basics
- Experience with an HRIS, applicant tracking system, or payroll platform
- Interest in pursuing an HR certification (aPHR, SHRM-CP, or PHR)
- Experience in a consulting, professional services, or startup environment
Why This Role Is Worth a Look- A genuinely rare hybrid schedule — 3 days in-office, 2 days remote
- A real launch pad into an HR career, learning directly from experienced HR leaders
- Exposure to a wide range of clients, industries, and HR challenges all at once
- Startup energy backed by the stability of an established, well-regarded organization
- Room to grow your role as the practice expands
