JOB SUMMARY

The Executive Meeting Manager is responsible for driving and managing group business with a primary focus on the Corporate, SMERF (Social, Military, Educational, Religious, and Fraternal), and Government market segments. This position will proactively solicit, negotiate, contract, and service groups with 10-25 peak room nights, ensuring an exceptional client experience from initial inquiry through post-event follow-up.

ESSENTIAL JOB FUNCTIONS

  • Leads and manages all aspects of the group sales function, driving revenue and supporting overall property success.

  • Builds and maintains strong, long-term, value-based relationships with clients and partners.

  • Develops and executes strategic sales and marketing plans focused on revenue growth, demand generation, and target markets.

  • Identifies new business opportunities while nurturing and expanding existing accounts.

  • Manages the full sales cycle, including prospecting, proposal creation, contract negotiation, and client communication.

  • Ensures seamless execution of booked business by collaborating with internal teams and supporting operational needs.

  • Services all group business from booking through arrival, including rooming lists, reservations, group resumes, billing coordination, and all group servicing responsibilities for assigned groups and the sales team

  • Coordinates with hotel departments to ensure seamless execution of group business and exceptional guest experiences.

  • Delivers exceptional service throughout the client journey, creating memorable experiences that drive repeat business, referrals, and long-term client loyalty.

  • Represents the property with professionalism, effectively communicating its value and unique offerings.

  • Analyzes market trends, competitor activity, and performance data using sales systems to inform strategy.

  • Adapts and implements strategies to meet or exceed financial and revenue goals.

  • Delivers exceptional service throughout the client journey, creating memorable experiences that drive repeat business.

  • Regular, reliable attendance and punctuality is a key component of this position.

  • Maintains a professional appearance in accordance with Company standards; wears the appropriate uniform or attire.

  • Maintains open and effective communication with team members and management.

  • Attends and participates in team meetings.

  • Adheres to established safety and emergency procedures and protocols, this includes Company, federal, and state specific regulations and guidelines.

  • Completes all required Company training/compliance courses as assigned.

  • Adheres to Company standards and maintains compliance with all policies and procedures.

  • Performs other related duties and responsibilities as assigned.

EDUCATION

  • High school diploma or equivalent.

EXPERIENCE

  • A minimum 2 years of experience in the hotel sales field.
  • A minimum 1 year of supervisory experience in the food and beverage field.

SUPERVISORY RESPONSIBILITIES

  • This position does not include any supervisory responsibilities.

LICENSES & CERTIFICATIONS

  • This position does not require licenses or certifications.

This position requires the capability to understand and follow both oral and written directions, as well as the ability to communicate effectively with others in English and interact successfully with internal and external customers.

Proficient in time management; the ability to effectively organize and manage multiple priorities.

Knowledge of the Seattle hospitality market is highly desirable.

  • Ability to work scheduled shifts, follow all timekeeping policies, and comply with federal, state, and local labor regulations, including those related to meal and rest breaks.

Proficient in Delphi FDC.

  • Proficient in Cvent, Meeting Broker, The Knot, Knowland, TravelClick and Marriott/Hilton Sales Tools Resources.

Proficient in Gmail/Microsoft Outlook.

Proficient in Google Docs/Microsoft Word.

Proficient in Google Sheets/Microsoft Excel.

TRAVEL REQUIREMENTS

  • 10% travel required.

WORK ENVIRONMENT

None: No exposure to adverse environmental conditions (typical office/administrative setting).
