Overview

The Hospitality Associate provides hospitality, catering, conference room, and general office support at a client site. This entry-level position is responsible for meeting and conference room setup and breakdown, food and beverage service, pantry and kitchen maintenance, inventory management, client service, and basic reception and office support. Reception or production experience is not required.

Responsibilities

  • Set up and break down conference rooms and meeting spaces according to event orders and schedules.

  • Arrange tables, chairs, podiums, divider walls, flip charts, whiteboards, cork boards, blinds, and other conference equipment as required.

  • Set up and break down catered food, coffee, beverages, ice, cups, plates, utensils, napkins, and other meeting supplies.

  • Check conference room and meeting schedules throughout the shift and ensure rooms are prepared accurately.

  • Clean conference rooms after meetings and return vendor property when necessary.

  • Perform conference room walkthroughs to ensure rooms, kitchens, and pantries are clean, organized, and properly stocked.

  • Prepare coffee and beverages in assigned kitchens each morning and clean coffee makers and equipment in the evening.

  • Maintain and clean kitchens, pantries, conference rooms, coffee machines, refrigerators, microwaves, ice machines, dishwashers, and related equipment.

  • Load dishwashers and clean items used by client personnel.

  • Provide general food and beverage service while following proper hygiene and food-handling procedures.

  • Maintain inventory of catering, food, beverage, kitchen, pantry, and conference room supplies; place orders as needed.

  • Communicate meeting requests, changes, concerns, or deadline issues to the supervisor or client.

  • Prioritize workflow and provide support for miscellaneous client requests.

  • Greet clients and guests and provide excellent, professional customer service.

  • Answer the telephone in the hospitality center and provide reception desk coverage during the main receptionist's lunch break.

  • Use basic software, event planning programs, office equipment, and audio/visual equipment as required.

  • Perform occasional office maintenance, including trash removal, dusting, cleaning and restocking restrooms and breakrooms, sweeping, mopping, vacuuming, and window washing.

  • Perform general clerical, copy center, mail, and delivery duties, including distributing office supplies, packages, fax transmissions, and incoming and outgoing mail.

  • Use equipment and supplies in a cost-efficient manner and assist with process improvement ideas.

  • Maintain a clean and safe work area.

  • Perform other duties as assigned.

Requirements

  • High school diploma or GED.

  • Minimum 1 year of professional experience preferred, particularly in hospitality, restaurant, housekeeping, or office environments.

  • Reception or production experience is a plus but not required.

  • Strong customer service, interpersonal, verbal, and written communication skills.

  • Professional telephone and email etiquette.

  • Excellent organizational skills and strong attention to detail.

  • Good problem-solving skills and the ability to determine when an issue should be escalated.

  • Ability to make independent decisions that align with business needs and policies.

  • Ability to prioritize work, meet deadlines, and complete projects in a timely manner.

  • Ability to work well in a team environment or independently.

  • Ability to work in a fast-paced, high-energy environment and manage multiple tasks simultaneously.

  • Basic computer, office equipment, software, and audio/visual equipment skills.

  • Ability to anticipate and respond to client needs for meetings and events.

  • Self-motivated with a positive, can-do attitude.

  • Ability to follow directions and meet or exceed customer expectations.

  • Ability to lift up to 50 lbs. on a regular basis; assistance is available.

  • Must maintain a clean and safe work area.
