    Job Summary

    The Healthcare Administrative Associate plays a vital role in maintaining front-office workflow to optimize the efficiency of the medical practice, clinic, and/or department. This position supports daily administrative operations, ensures accurate documentation and billing processes, and delivers excellent customer service to patients and visitors.

    Key Responsibilities

    • Greet, screen, and provide service to patients and visitors

    • Process mail, fax, and other documents

    • Maintain multi-line phone system/switchboard

    • Schedule, register, and check patients in and out

    • Maintain and update medical records

    • Perform data management and maintain spreadsheets

    • Run and maintain reports

    • Perform charge entry and process billing documents

    • Research and resolve billing-related issues

    • Collect co-payments, deductibles, and other self-pay amounts at time of service

    • Maintain cash box and receipt books

    Qualifications

    Education:
    High school diploma or GED required

    Experience:
    None required

    Licensure/Certification:
    None required

    Other Minimum Qualifications:

    • Strong customer service orientation

    • Excellent grammar, spelling, and punctuation skills

    • Knowledge of medical terminology

    • Familiarity with office procedures and equipment

    • Proficiency in computer data entry and keyboarding

    • Ability to use electronic medical record systems

    • Strong organizational, communication, and interpersonal skills

    • Proficiency in Microsoft Office applications (Word, Excel) preferred

    • Ability to multitask effectively
