Key Responsibilities

Bespoke Event Planning & Curation

  • Manage every detail of conferences, meetings, and private events — from room dressing and bespoke catering menus to audiovisual production and guest transportation.
  • Craft meticulous event timelines, floor plans, and run-of-show documents that leave nothing to chance.
  • Design tailored conference packages that honor each client's vision, objectives, and budget while elevating the guest experience at every turn.
  • Anticipate the unexpected and build contingency plans that preserve the seamlessness of every event.
White-Glove Client Relations
  • Serve as a dedicated concierge-level point of contact for conference clients — attentive, informed, and always one step ahead.
  • Cultivate enduring relationships with corporate event planners, executives, and group organizers who expect nothing less than exceptional.
  • Communicate proactively and elegantly throughout every phase of the planning journey, ensuring clients feel heard, valued, and confident.
  • Transform concerns into opportunities — resolving challenges swiftly and gracefully to reinforce trust and loyalty.
  • Conduct thoughtful post-event follow-up to gather feedback and refine the experience for future engagements.
Flawless On-Site Execution
  • Personally oversee on-property event operations, ensuring every space is presented to the highest standard of luxury hospitality.
  • Direct and inspire event staff and cross-functional teams — Culinary, Housekeeping, A/V, and Security — to deliver seamless, synchronized service.
  • Ensure room configurations, lighting, signage, décor, and ambiance are executed precisely as envisioned by the client.
  • Remain a calm, composed, and authoritative presence throughout the event, managing the flow with quiet confidence.
Vendor & Supplier Partnerships
  • Cultivate a curated network of premium vendors — florists, lighting designers, A/V specialists, and beyond — whose standards align with Proper's commitment to excellence.
  • Negotiate and manage vendor agreements, monitor performance, and resolve any service gaps with efficiency and discretion.
Financial Stewardship & Revenue Growth
  • Develop and manage event budgets with precision, ensuring exceptional delivery within agreed parameters.
  • Partner with the sales team to convert qualified leads into confirmed, revenue-generating bookings through compelling proposals and personalized site experiences.
  • Identify and present opportunities to enhance events with premium upgrades — elevated dining, bespoke A/V, and exclusive amenities — maximizing both guest satisfaction and property revenue.
  • Ensure billing accuracy and oversee timely invoicing and payment processes with professionalism.
Qualifications

Education & Experience
  • Bachelor's degree in Hospitality Management, Event Management, Business Administration, or a related discipline preferred.
  • Minimum 2 years of experience in luxury groups & events service, upscale event management, or a comparable role within a premium hotel or resort environment.
  • Demonstrated expertise managing high-profile corporate events, galas, and multi-day conferences.
  • Proficiency in event management platforms (Delphi, Cvent) and Microsoft Office Suite.
