Mac Properties is a dynamic and growing private residential real estate company with operations in the metropolitan areas of Chicago, St. Louis, and Kansas City.
We are hiring for a Front Desk Coordinator in Kansas City! The pay range for this role is $18-$20/hour.
The Front Desk Coordinator is responsible for answering a multi-line telephone, greeting and assisting all visitors, handling mail, and any general administrative support duties required by Resident Services or Leasing Departments.
Essential Functions:
- Warmly greet residents and register guests; conduct courtesy calls to residents (i.e packages, deliveries)
- Announce all visitors/deliveries to employees when applicable
- Follow emergency key procedures for Key Track, key box locations, fireman elevator keys, lock-outs, etc.
- Answer all incoming calls and handle accordingly using MAC telephone greeting standards
- Accept and distribute packages and mail, regularly distribute incoming/outgoing faxes
- Assist with move-in and move-out procedures; assemble move-in packages for new residents
- Enter service requests in property management system and assign to the appropriate staff member
- Conduct follow-up calls for resident service requests
- Schedule pre-move out inspections assist residents with move-in process including walking of unit, lease paperwork, and follow-up resident contact
- Conduct welcome and follow-up calls to all new move-ins to ensure resident satisfaction.
- Conduct pre-move out calls to confirm move-out dates and review MAC Property Management move-out procedures.
- Participate in ongoing resident relations including telephone calls and resident functions. Assist with resident concerns or related activities as requested by management.
- Assist Resident Service Managers in various tasks as requested
- Performing clerical duties, including completing internal forms, filing and copying
- Executing emergency procedures as needed
- Performing any other related duties and assignments as required.
Qualifications:
- High school degree required; Associate's Degree or equivalent experience preferred
- Microsoft Office Suite (Word, Excel, Outlook) and Internet navigation
- Yardi Voyager and EliseAI experience preferred.
- Exceptional customer service and follow-through skills; strong communication skills required.
- Outgoing personality - enjoys interaction with customers.
- Self-motivated and able to work with limited supervision; excellent organization skills.
- Ability to set priorities and handle multiple tasks.
Measures of Success:
- All resident correspondence complies with MAC Property Management's standards.
- All resident concerns and service requests are documented completely and accurately.
- All resident follow up calls are completed per MAC Property Management's standards.
