Location

Our West Campus is located at 2400 Gillionville Road, Albany, GA 31707. Our East Campus is located at 504 College Drive, Albany, GA 31705. The Human Resources office for both campuses is located on the West Campus in Building K, Suite 209.

Job Summary

Provide administrative and clerical support to the College of Business, Education & Professional Studies (COBEPS) office through the Federal Work-Study (FWS) program. Assisted faculty, staff, students, and visitors by answering phones, greeting guests, scheduling appointments, maintaining records, filing documents, processing paperwork, and performing data entry. Supported daily office operations by organizing files, preparing correspondence, managing office supplies, and providing excellent customer service while maintaining confidentiality and professionalism in a fast-paced academic environment.

Responsibilities

  • Report directly to the Administrative Assistant in the Deans Office and provide daily administrative support.
  • Greet and assist students, faculty, staff, and visitors in a professional and courteous manner.
  • Answer and direct incoming phone calls, emails, and office inquiries.
  • Maintain organized electronic and paper filing systems while ensuring confidentiality of sensitive information.
  • Perform data entry, scan documents, copy materials, and prepare correspondence as assigned.
  • Assist with scheduling appointments, meetings, and special events for the Deans Office.
  • Prepare meeting materials, packets, and other documents for faculty and staff.
  • Sort, distribute, and process incoming and outgoing mail.
  • Monitor and maintain office supplies and notify the Administrative Assistant when inventory needs replenishing.
  • Assist with student forms, departmental paperwork, and other office documentation.
  • Support special projects and campus events sponsored by the College of Business, Education & Professional Studies (COBEPS).
  • Maintain a clean, organized, and welcoming office environment.
  • Operate standard office equipment, including computers, printers, copiers, scanners, and telephones.
  • Follow university policies and procedures while maintaining professionalism and confidentiality at all times.
  • Perform other clerical and administrative duties as assigned by the Administrative Assistant or the Deans Office.

Required Qualifications

Must be a current Albany State student enrolled in six or more undergraduate credit hours or three or more graduate credit hours.

Preferred Qualifications

  • Currently enrolled as a student at Albany State University.
  • Preference will be given to students enrolled in the College of Business, Education, and Professional Studies (COBEPS).
  • Eligible to participate in the Federal Work-Study (FWS) Program.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Basic knowledge of Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Strong organizational skills with the ability to manage multiple tasks and meet deadlines.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Dependable, punctual, and able to work independently as well as collaboratively in a team environment.
  • Willingness to learn university policies, procedures, and office operations.
