    Facilities Material Flow Coordinator
    Position Overview
    The Material Flow Coordinator coordinates the daily flow of materials, transactions, documentation, scheduling, and dispatch across operations and accounting — serving as a key connection point between Operations, Accounting, Sales, customers, suppliers, carriers, and regulatory bodies. This role is expected to grow over time, taking on additional accounting and business support responsibilities that allow the Controller and Assistant Controller to focus on strategic financial work.
    Primary Responsibilities
    Operations & Logistics
    •  Process and enter 80+ inbound and outbound scale tickets, bills of lading, packing lists, and unload sheets daily; scan and attach signed documents to transaction records and update records to Complete status.
    •  Coordinate and communicate inbound and outbound truck scheduling with carriers, customers, suppliers, and Operations; maintain weekly load and trailer schedules and dispatch third-party carriers for local, brokered, export, and supplier/customer loads.
    •  Research and resolve missing, incomplete, or inconsistent ticket and documentation issues; escalate discrepancies requiring correction or management review.
    Inventory & Reporting
    •  Serve as the primary conduit for inventory information and material movement; coordinate with the Production Supervisor to update and communicate daily and weekly inventory levels and align shipment timing with yard flow and production priorities.
    •  Assist Accounting with inventory discrepancy research and month-end activity; prepare and support scheduled and ad hoc reports for Oregon DEQ, Metro, and other government or recycling program requirements while maintaining audit-ready records.
    Accounting & Communications Support
    •  Review tickets, invoices, and transaction records for accuracy; support AR/AP processes, hauler statement research, billing discrepancy resolution, and monthly close activities.
    •  Attend to customers, suppliers, carriers, and visitors professionally; answer phones, route messages, and maintain clear communication with all internal and external stakeholders.
    Skills & Core Competencies
    •  High attention to detail and commitment to accurate data entry, transaction processing, and documentation across tickets, bills of lading, invoices, and accounting support materials.
    •  Proficiency in Microsoft Excel (sorting, filtering, formulas, pivot tables); willingness to learn ERP, scale, logistics, and Microsoft 365 systems.
    •  Strong organizational and self-management skills; ability to prioritize competing tasks, meet deadlines, and work with limited supervision in a fast-paced environment.
    •  Professional written and verbal communication with customers, suppliers, carriers, and management; ability to maintain confidentiality of financial and operational information.
    Preferred Experience
    •  Experience in recycling, manufacturing, transportation, logistics, warehousing, or scale house operations, including truck scales, bills of lading, freight scheduling, dispatch, or export documentation.
    •  Experience supporting customer billing, AP/AR research, hauler statements, or other accounting support processes; familiarity with government, regulatory, or compliance reporting a plus.
