Job Summary

Under the general supervision of the Cash Management Supervisor, this position is responsible for analyzing, monitoring, preparing, and reconciling financial information to support the administration and control of contract and grant operations. The position prepares and submits expense reimbursement and cash drawdown requests through multiple federal payment systems and monitors related activity through completion.

Responsibilities include preparing reimbursement and drawdown documentation; monitoring cash receipts and payments; recording and reconciling related financial transactions; identifying and resolving discrepancies; and preparing required quarterly financial reports. The position applies accounting principles, financial concepts, and a strong understanding of accounting practices, campus policies, procedures, and sponsor requirements to analyze financial data and documentation and ensure accurate and timely processing of invoices, payment collections, reimbursement requests, and cash drawdowns.

The position independently reviews transactions and supporting documentation, evaluates a variety of financial factors, and exercises judgment to identify issues, determine appropriate corrective action, and escalate matters when necessary. The position works regularly with fund managers and unit leads to resolve financial and administrative issues and maintains limited external contact with sponsors and administrators of federal payment systems.

Qualifications

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

• Bachelor's degree or equivalent of 3-6 years of experience in a business or finance position.
• Demonstrated experience in the use of spreadsheet and database software in financial analysis, fiscal management and financial reports, including advanced functions.
• Experience in a busy, high-volume, and deadline driven work environment that requires coordination of multiple activities and the judgment and flexibility to re-prioritize to accommodate emergency requests.
• Solid understanding of general financial administrative principles and knowledge of generally accepted accounting principles as it relates to contract and grant administration.
• Demonstrated skills to thrive in a busy, high-volume, and deadline driven work environment that requires coordination of multiple activities and the judgment and flexibility to re-prioritize to accommodate emergency requests.
• Understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment.

Preferred Qualifications

• CFRA (Certified Research Administrator) or equivalent.
• Knowledge of UC policies and procedures and experience applying them.
• Experience in the management of grants and contracts (preferred UC policies).Experience with enterprise level financial systems.

Department Overview

Contracts and Grants Accounting (CGA) has campus-wide responsibility for the financial administration of all contract and grant funding received by UC Davis. In fiscal year 2026, this funding generated approximately $908 million in revenue from governmental and private contracts and grants.

CGA provides comprehensive post-award financial administration and support to the Davis campus, including initial fund setup, financial reporting, ongoing financial analysis and reconciliation, interpretation and implementation of University and sponsor policies, collection of reimbursable expenditures through billing and federal cash drawdown processes, and contract and grant closeout activities.

CGA also has campus-wide responsibility for coordinating and supporting the Single Audit of contracts and grants, as well as cooperating with federal and other external audits. This includes participating in the preparation of responses to audit findings and implementing corrective actions necessary to address and resolve audit issues.

CGA develops and maintains the systems, policies, procedures, and training necessary to support the effective financial administration of approximately 4,800 contracts and grants across campus. CGA also provides education, consultation, and outreach to campus departments and serves as the campus subject-matter expert for post-award contract and grant financial management.
