Job Timings:  8 AM to 5 PM

Position summary:
Provides administrative and operational support by managing databases, performing data entry and quality control, preparing and formatting documents, monitoring shared communications, and handling general office functions. Ensures accurate recordkeeping, responds to inquiries, and maintains organized electronic and paper files while supporting healthcare-related operations in a fast-paced, confidential environment.

Key Responsibilities:
  • Performing administrative support responsibilities such as maintaining various tracking and database systems.
  • Formatting documents in Microsoft Word, PowerPoint, and Excel.
  • Performing data entry operations and data quality control.
  • Monitoring shared email accounts and drafting professional responses.
  • Answering phones, referring calls, and answering inquiries.
  • Receiving and processing mail and fax documents.
  • Printing, scanning, faxing and photocopying.
  • Organizing and maintaining electronic (and paper) files. 
Minimum Qualifications-
  • Excellent working knowledge of Microsoft Office applications (specifically Word, Excel, PowerPoint, and Outlook).
  • The ability to work on a team and handle multiple shifting priorities.
  • Good organizational skills.
  • Ability to correspond with healthcare professionals.
  • Familiarity working in electronic databases.
  • Candidates should be dependable, highly motivated, individuals and able to work in a fast-paced, high-volume office environment. 
Preferred Qualifications:
  • Familiarity and knowledge of varied healthcare entities; including pharmacies, practitioners, and healthcare institutions.
  • Familiarity and knowledge of the New York State Health Commerce System.
  • Prior experience working in a New York State Health Department secure, confidential law enforcement environment.
