Top Accountabilities
What will you be doing in your role?
Executive Operations
• Calendar Management: Own VP’s calendar/scheduling according to evolving priorities. Manage complex, high-volume calendar for the Vice President, making autonomous decisions regarding scheduling, prioritization of requests and coordination with internal and external stakeholders.
• Inbox Management: Independently manage and triage the Vice President’s email inbox, ensuring timely responses, exercising judgment to flag strategic priorities, and maintaining executive-level communication standards.
• Correspondence support: Draft, edit, and prepare professional correspondence, presentations, and internal communications on behalf of the Vice President, exercising discretion regarding content and alignment with leader voice.
• Meeting preparation and follow-up: Coordinating executive-level meetings and priorities. Owning end to end VP prep and follow-up for all meetings and events involving VP including helping prepare presentations, talking points, briefings, and meeting materials.
Governance Entities Strategy & Engagement
• Serve as the operational owner for governance processes—anticipating needs, maintaining cadence, and ensuring all governance activities occur on time, with excellence, and with minimal direction required from the President and Vice President.
• Prompt the Vice President to prepare meeting agendas and materials in advance, maintaining a smooth planning cadence so VP does not need to manage the process themselves.
• Provide comprehensive support for all governance meetings, including preparing meeting spaces, managing technology needs, taking clear and actionable notes, documenting decisions and follow up tasks.
CEO Office Support
• Support the efficient day-to-day operation of the CEO Office (President & Vice President) in partnership with Chief of Staff to the CEO through administrative excellence and attention to detail.
• Coordinate all travel for the President and Vice President, including booking flights, hotels, and ground transportation; preparing detailed travel itineraries; and ensuring President and Vice President are fully prepped for all onsite commitments.
• Manage all expense processing and reimbursement requests for CEO office.
• Coordinate meeting logistics including room reservations and technology requirements.
• Process incoming and outgoing mail, packages, and deliveries to the CEO Office.
• Coordinate printing, copying, binding, and distribution of printed materials for the CEO Office.
• Maintain executive office supplies, hospitality inventory, and ordering needs.
• Maintain and organize digital and physical records, files, and documents in accordance with CCFW processes and procedures.
Executive Team Operations & Integration
• Provide comprehensive support for Executive Team meetings, including preparing meeting spaces, managing technology needs, taking clear and actionable notes, and documenting decisions to drive execution and accountability.
• In partnership with Chief of Staff to the CEO, track and assign action items from Executive Team meetings, ensuring owners are notified, and deadlines are monitored to support accountability and follow-through.
• Own and drive the annual calendar of Executive Team meetings, proactively coordinating schedules, managing all logistics, securing materials, and ensuring all components are delivered with excellence.
• Prompt the Vice President to prepare meeting agendas and materials in advance, maintaining a smooth planning cadence so executives don’t need to manage the process themselves.
