Core Responsibilities
What will you be doing in your role?
Executive Operations
- Independently manage and triage the President’s and Vice President’s email inboxes, ensuringâ¯timelyâ¯responses,â¯exercising judgment toâ¯flagâ¯strategicâ¯priorities, andâ¯maintainingâ¯executive-level communication standards.â¯
- Draft, edit, and prepare professional correspondence, presentations, and internal communications on behalf of the President and Vice President, exercising discretionâ¯regardingâ¯content and alignment with leader voice.â¯
- Orchestrate and “run the day” for President and Vice President, including ensuring smooth meeting transitions, keeping schedules on track, and proactively preparing materials and briefing documents before each meeting.â¯
- Manage complex, high-volume calendars for the President and Vice President,â¯making autonomous decisionsâ¯regardingâ¯scheduling,â¯prioritization ofâ¯requestsâ¯and coordinationâ¯with internal and external stakeholders.â¯
Strategic Support
- Anticipate needsâ¯of President and Vice Presidentâ¯by monitoring workloads, deadlines, and key priorities,â¯proactivelyâ¯identifyingâ¯risks, conflicts or preparation needs toâ¯ensureâ¯the leaders are fully briefed and equipped for upcoming commitments.â¯
- Serve as a strategic gatekeeper, protecting executive time whileâ¯maintainingâ¯strong relationships across the organizationâ¯and making determinationsâ¯regardingâ¯access, timing, and follow-up.â¯
- Own preparation for executive meetings, includingâ¯driving timelines, supportingâ¯creationâ¯ofâ¯agendas,â¯curatingâ¯materials, and guiding post-meeting follow-throughâ¯to driveâ¯results.â¯
Governance Entities Strategy & Engagement
- Serve as the operationalâ¯ownerâ¯for governance processes—anticipatingâ¯needs, maintaining cadence, and ensuring all governance activities occur on time, with excellence, and with minimalâ¯directionâ¯requiredâ¯from the President and Vice President.â¯
- Prompt the President and Vice President to prepare meeting agendas and materials in advance,â¯maintainingâ¯a smooth planning cadence so executivesâ¯don’tâ¯need to manage the process themselves.â¯
- Provide comprehensive support for all governance meetings, including preparing meeting spaces, managing technology needs, taking clear and actionableâ¯notes, andâ¯documenting decisions and followâup tasks.â¯
Project Management Strategic Support
- Support the implementation of project management best practices for crossâfunctional initiatives led by the President and Vice President, exercising judgment to organize workstreams, timelines, and alignment across teams.â¯
- Ownâ¯logistics, coordination, and document preparation for project management meetings.â¯
- Support preparation and follow up for project management meetings, including preparing agendas, assembling materials, and capturing clear next steps that drive consistent followâthrough and momentum.â¯
Are you the next Executive Operations Manager?
Required:
- High School Diploma.
- 5 to 7 or more years of relevant professional experience in executive support, operations, or administrative leadership.
- Proficiency in Microsoft Office Suite (including Outlook, Word, Excel, PowerPoint and SharePoint).
- Excellent written and oral presentation skills in English.
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
- Strong communication and interpersonal abilities.
- Demonstrated discretion and ability to handle sensitive and confidential information.
- Ability to work both independently and collaboratively in a fast-paced environment.
- Ability to provide consistent, on-site support. This position is located in Fort Worth, TX. It is required for candidates to be available to work 5 days in the office. Occasional remote work is supported when work duties require deep thinking or focused work.
Preferred:
- Bachelor’s degree in business or related field preferred.

- Full-time position starting at a salary of $80,000. Final offer is determined by relevant experience, work history, education and internal equities.
