Executive Assistant to the President & CEO


Integrity Support Solutions | Greater Philadelphia Area

Are you the person who notices what needs to be done before someone asks?


Integrity Support Solutions is seeking an experienced Executive Assistant to the President & CEO who thrives on creating order, anticipating needs, solving problems, and making sure important details don't fall through the cracks.


This is not a traditional administrative role centered solely on completing assigned tasks. We're looking for a trusted partner to executive leadership—someone who sees a gap and thinks, “Here's how we can fix that.”


What You'll Do


You'll help keep our executives and organization moving by:


  • Managing executive communications, follow-up, scheduling, and priorities
  • Identifying actionable emails and translating them into tasks and deadlines
  • Preparing meetings, correspondence, documents, spreadsheets, and presentations
  • Coordinating client/family onboarding and welcome materials
  • Supporting new-hire orientation and collecting required documentation
  • Monitoring employee credentials, licenses, ISPs, and other required records
  • Maintaining office supplies and administrative systems
  • Coordinating our monthly Butterfly Bulletin and other communications
  • Managing calendars, including employee time-off tracking
  • Planning employee/client events, meetings, celebrations, and special projects
  • Assisting with projects such as office moves, organizational initiatives, and process improvements

Qualifications:


  • High school diploma or GED required; associate degree or administrative certification preferred
  • 3–5+ years of executive administrative, office management, or operational support experience
  • Executive support experience strongly preferred
  • Strong written/verbal communication, customer service, organization, and project-management skills
  • Proficiency with Microsoft Office and Google Workspace
  • Ability to learn agency technology and software quickly
  • Ability to handle confidential information with discretion
  • Healthcare, human services, IDD/autism, or home-care experience is a plus
  • Valid driver's license, automobile insurance, and reliable access to a personal vehicle for occasional business travel; authorized mileage is reimbursed
  • Must pass Pennsylvania Criminal Background Check
