  About the Role
The Executive Assistant provides high-level administrative and strategic support to the Chief Executive Officer of the Orlando Regional REALTOR® Association (ORRA). This role is a true partnership that thrives on exceptional professionalism, sound judgment, and the utmost discretion. The ideal candidate is highly organized and flexible, with the ability to anticipate the needs of the CEO, manage both professional and personal-related tasks with equal efficiency, and serve as a trusted partner in the day-to-day operations of the association’s leadership office.
 
Reports to: Chief Executive Officer (CEO)
Schedule: Full-Time (40 hrs/week) | M-F 8:00am - 4:30pm | Phone availability outside of standard business hours, including early mornings, evenings, and weekends, is expected on an as-needed basis.
Travel: Minimal | Occasional travel may be required
Supervision: No direct reports
 
  Key Responsibilities
  • Manage the CEO’s calendar with precision, including scheduling meetings, appointments, and engagements, while proactively resolving conflicts and keeping all parties informed.
  • Screen, prioritize, and manage incoming calls, correspondence, and emails on behalf of the CEO; draft, proofread, and prepare professional communications, reports, memos, and letters
  • Coordinate and book domestic and international travel arrangements for the CEO, including flights, accommodations, ground transportation, and itineraries for both professional and personal travel.
  • Assist with the reconciliation of CEO expense reports and manage related administrative functions with accuracy and confidentiality.
  • Prepare agendas, compile materials, record minutes, and provide executive-level support for Board of Directors meetings, executive committee sessions, councils, task forces, and other high-level gatherings.
  • Serve as a liaison between the CEO and internal departments, member leaders, volunteers, and external stakeholders, ensuring timely and professional communication at all times.
  • Handle personal and work-related tasks for the CEO as needed, managing all requests with the same level of professionalism and discretion as all other executive functions.
  • Maintain confidential office files, records, and databases; ensure that all documentation is organized, current, and accessible.
 
  What we are looking for
  • Minimum of five (5) years of experience providing direct administrative support to a C-suite executive or senior leadership within an association, nonprofit, or corporate environment
  • Exceptional organizational skills with the ability to manage multiple calendars, competing priorities, and high-volume scheduling demands simultaneously
  • Demonstrated expertise in booking domestic and international travel, including flights, hotels, ground transportation, and end-to-end itinerary coordination
  • Outstanding written and verbal communication skills; ability to draft and edit professional correspondence with accuracy and appropriate tone
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with calendar and scheduling platforms
  • High degree of personal integrity, maturity, and trustworthiness; able to handle sensitive and confidential information with absolute discretion
  • Flexible and adaptable, with the ability to adjust to shifting priorities, last-minute changes, and the personal and professional needs of executive leadership
  • Bilingual is required
Preferred
  • Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field, or equivalent professional experience
  • Prior experience working within a REALTOR® trade association or similar membership-based organization

  Work Environment and Physical Requirements
  • This position works primarily in an office environment at ORRA’s headquarters, with regular interaction with senior leadership, board members, and external stakeholders.
  • Full-time, Monday–Friday, 8:00 AM – 4:30 PM
  • Must be able to sit for extended periods; occasionally lift up to 25 lbs; and occasionally stand for up to 3-4 hours at association events.
  • Flexibility in schedule is expected; this role may occasionally require phone availability on early mornings, evenings, or weekends in support of executive needs and association events.
