We are seeking a highly organized, proactive, and personable Executive Assistant & Office Coordinator to support our executive team while ensuring the smooth day-to-day operations of a 100-person office. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and takes pride in creating a welcoming and efficient workplace. As the first point of contact for guests, this individual will play a key role in representing the company’s professionalism and culture.

Executive Support:
- Manage complex calendars, including scheduling meetings and coordinating across multiple stakeholders
- Arrange domestic and international travel, including flights, accommodations, itineraries, and expense reporting
- Prepare, organize, and distribute meeting materials, presentations, and agendas
- Take meeting notes and track follow-ups when needed
- Assist with special projects and administrative tasks as assigned
Office Management & Coordination:
- Maintain inventory and ensure the office is fully stocked with supplies, snacks, and essential items
- Coordinate with vendors for office services, deliveries, and maintenance
- Oversee organization and cleanliness of shared spaces, conference rooms, and common areas
- Manage incoming and outgoing mail and packages
- Coordinate large meetings and events at the office
Front Desk & Guest Experience:
- Serve as the first point of contact for visitors, creating a welcoming and professional environment
- Greet guests, manage check-ins, and coordinate meeting logistics
- Answer and direct incoming calls and general inquiries
Qualifications:
- 2+ years of experience in an executive assistant, administrative, or office coordination role
- Exceptional organizational and time management skills with strong attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and adapt in a dynamic environment
- Proficiency in Microsoft Office, Google Workspace, and scheduling tools
- Strong problem-solving skills and a proactive mindset
