Description

Executive Assistant (Contract)

Location: Newark, NJ (On-Site)

Pay: Up to $32/hour

Duration: Contract through November

Our client is seeking a professional and highly organized Executive Assistant to provide support to senior leadership in a fast-paced environment. This role requires strong administrative skills, attention to detail, discretion, and the ability to manage multiple priorities while supporting executive-level operations.

Responsibilities:

  • Manage executive calendars, scheduling meetings, appointments, and travel arrangements

  • Coordinate local, domestic, and international travel logistics

  • Prepare agendas, reports, presentations, and meeting materials

  • Attend meetings, take notes, and distribute meeting minutes

  • Submit and track expense reports

  • Coordinate meetings, special events, and executive functions

  • Serve as a liaison between leadership, staff, and external stakeholders

  • Screen and manage incoming calls, emails, correspondence, and visitors

  • Maintain confidential records, files, and documentation

  • Support office operations, including supplies, reporting, and administrative processes

  • Assist with time and attendance administration

  • Coordinate board and committee meeting logistics, materials, and minutes

  • Help develop and improve office procedures and workflows

  • Provide exceptional customer service to internal and external contacts

Qualifications:

  • Bachelor's degree preferred or equivalent relevant experience

  • 2-4 years of Executive Assistant or senior administrative support experience

  • Strong proficiency in Microsoft Office Suite

  • Excellent organizational, communication, and multitasking skills

  • Ability to work independently and exercise sound judgment

  • Experience handling confidential information with professionalism and discretion

  • Strong attention to detail and follow-through

  • Experience supporting senior executives strongly preferred

  • CRM experience, including Raiser's Edge NXT, is a plus

Pay Details: $28.00 to $32.00 per hour
