    Position Summary



    We are seeking a highly organized and proactive Executive Administrator to support senior leadership and project teams in a fast-paced, high-visibility office environment. This role serves as a trusted partner to leadership while also acting as a central administrative resource for project personnel, clients, visitors, and office operations.

    This position requires someone who can anticipate needs, manage competing priorities, maintain confidentiality, and build strong relationships across all levels of the organization. The successful candidate will be equally comfortable coordinating executive calendars, preparing project documentation, welcoming clients, organizing meetings, and handling day-to-day office needs.


    Key Responsibilities



    Executive & Leadership Support




    + Manage complex calendars, schedules, and meeting coordination for senior leadership.

    + Coordinate travel arrangements, meeting logistics, and executive communications.

    + Prepare reports, presentations, correspondence, and meeting materials.

    + Support leadership with special projects, action items, and follow-up activities.

    + Maintain confidentiality while handling sensitive business information.


    Project & Administrative Support




    + Support project managers and project teams with administrative coordination and project documentation.

    + Maintain project files, reports, spreadsheets, and tracking logs.

    + Assist with document formatting, editing, and quality reviews using Microsoft Office applications.

    + Create and update organizational charts, team rosters, and project-related documentation.

    + Manage onboarding activities and project-related administrative processes.


    Office Operations & Client Support




    + Serve as a primary point of contact for visitors, clients, vendors, and stakeholders.

    + Coordinate conference room scheduling, catering, office events, and client meetings.

    + Maintain office supplies, vendor relationships, and administrative resources.

    + Support a professional and welcoming office environment.

    + Assist with day-to-day office activities and special requests as needed.


    Qualifications



    Required




    + 5+ years of executive support, project administration, office management, or administrative coordination experience.

    + Strong experience supporting senior leaders, project teams, or business operations.

    + Advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.

    + Experience managing calendars, meetings, travel arrangements, and executive communications.

    + Excellent organizational, communication, and multitasking skills.

    + Ability to priorities and manage multiple competing demands in a fast-paced environment.

    + Strong customer service orientation and professional presence.


    Preferred




    + Experience supporting engineering, construction, manufacturing, industrial, energy, or project-based organizations.

    + Experience using Microsoft Visio to create and maintain organizational charts and diagrams.

    + SharePoint and document management system experience.

    + Experience supporting client-facing business leaders or project executives.
