Job Description:
Key Responsibilities
Manage complex executive calendars, scheduling meetings and resolving conflicts effectively.
Coordinate and prioritize a high volume of requests, ensuring appropriate urgency is applied to tasks and commitments.
Monitor leadership meetings, priorities, and communications, and act as a proxy when necessary.
Coordinate domestic and international travel arrangements and prepare detailed itineraries.
Manage expense reporting and reimbursement processes.
Track action items, deadlines, and deliverables to ensure timely completion.
Prepare meeting materials, documentation, and follow-up communications.
Support special projects and administrative initiatives.
Maintain confidentiality and professionalism when handling sensitive information.
Partner with internal and external stakeholders to ensure smooth execution of business activities.
Requirements
Minimum 5 years of experience supporting senior leaders such as Directors, Vice Presidents, or equivalent executives.
Demonstrated ability to manage a high volume of tasks and projects with minimal guidance.
Strong organizational skills with exceptional attention to detail.
Proven ability to prioritize competing demands and adapt quickly to changing priorities.
Strong decision-making skills and ability to exercise sound judgment.
Excellent verbal and written communication skills.
Ability to maintain discretion and confidentiality when handling sensitive information.
Professional presence and experience interacting with senior-level stakeholders.
Preferred Qualifications
Experience supporting executives within a large, fast-paced corporate environment.
Experience tracking complex deliverables, action items, and executive priorities.
Ability to anticipate business needs and proactively solve problems.
Familiarity with Gen AI tools and productivity technologies.
Experience serving as a trusted partner to executive leadership teams.
