Executive Assistant Corporate Legal Department Location: Hybrid | New York or Northern NJ (preferred) Schedule: Full-Time | Hybrid Compensation: Up to $140,000 (commensurate with experience) Benefits: Comprehensive benefits packageWhat You'll Do: As an Executive Assistant supporting the Corporate Legal Department, you will provide high-level administrative and legal support with a focus on corporate governance, document management, and board processes for two public companies. You will play a critical role in ensuring the efficiency and accuracy of department operations and board communications.Key Responsibilities: Board Support:Administer board portal systems for two public companiesCoordinate scheduling, agendas, and meeting logistics for board and committee meetingsCompile and distribute meeting materials; liaise with board members and their executive assistantsPrepare and manage director & officer questionnaires, annual evaluations, and surveysAssist with meeting minutes and corporate recordkeepingCorporate Legal Administration:Maintain corporate books and recordsManage processing of department invoices: code expenses, track projects, assist with budgeting and accrualsCoordinate execution of legal documents, both hard copy and via DocuSignDepartmental & Administrative Support:Manage complex calendars, travel arrangements, and expense reportsProvide word processing, proofreading, and file organization supportMaintain legal department subscriptions and assist with internal communicationsWhat You'll Bring: 5 to 7+ years of experience in an executive administrative or legal assistant role, preferably within a corporate legal or public company settingHigh level of professionalism with the ability to handle confidential information with discretionStrong attention to detail, organization, and process orientationAdvanced proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint, Excel)Experience with board portal software, DocuSign, and Basware (or similar accounts payable systems) preferredExcellent written and verbal communication skillsProven ability to work both independently and collaboratively; proactive, reliable, and team-oriented
