A leading financial firm is seeking an experienced
Executive Assistant to support a team of senior investment professionals in a fast-paced, highly collaborative environment.
This role will provide high-level administrative support across multiple stakeholders, with a strong focus on
complex calendar management, travel coordination, meeting logistics, and day-to-day organization. The ideal candidate is highly organized, proactive, discreet, and comfortable working with senior professionals and confidential information.

Key Responsibilities
- Provide proactive administrative support to multiple senior professionals, anticipating needs and helping manage competing priorities.
- Manage complex and frequently changing calendars, including scheduling internal and external meetings and resolving scheduling conflicts.
- Coordinate domestic and international travel, including detailed itineraries, accommodations, and last-minute changes.
- Organize logistics for meetings, conferences, team events, and other business activities.
- Assist with planning team meetings, offsites, and recurring team activities.
- Prepare and process expense reports and assist with related follow-up and reconciliation.
- Serve as a professional and responsive point of contact for internal and external stakeholders.
- Handle sensitive and confidential information with a high level of discretion and sound judgment.
- Work collaboratively with other administrative professionals to provide coverage and support as needed.
- Assist with special projects and other administrative needs as priorities evolve.
- Maintain a calm, flexible, solutions-oriented approach in a fast-moving environment.
Qualifications
- 3+ years of experience in an Executive Assistant, Administrative Assistant, or similar professional support role.
- Experience supporting multiple senior-level professionals in a fast-paced corporate or professional services environment.
- Strong experience with complex calendar management and meeting coordination.
- Experience coordinating domestic and international business travel.
- Excellent organizational skills with the ability to prioritize multiple competing demands.
- Strong written and verbal communication skills.
- Demonstrated ability to work effectively with individuals across different levels and functions.
- High degree of professionalism, discretion, and confidentiality.
- Strong attention to detail and follow-through.
- Proactive problem-solving skills and the ability to anticipate needs.
- Advanced proficiency with Microsoft Office and the ability to quickly learn new technology and systems.
