Our firm is representing a purpose-driven family foundation dedicated to creating lasting positive change in the Tampa Bay and Nashville communities. We are seeking an Executive Administrator and Relationship Liaison to lead the administration and strategic direction of the foundation's philanthropic programs.

This role is not about running a big organization; rather, it is about being a disciplined administrator and trusted advisor who ensures that every dollar deployed creates a meaningful impact.

The ideal candidate possesses the seniority to provide thoughtful recommendations to stakeholders but remains focused on the hands-on work required to move the mission forward. You will manage a portfolio providing 750K to 1M dollars per year in grants, scholarships, and awards.

KEY RESPONSIBILITIES

Philanthropic Advisory and Vetting

  • Conduct in-depth research to identify and vet new grant opportunities.
  • Serve as the foundation's primary Philanthropic Advisor, evaluating potential partners.
  • Analyze nonprofit organizational health and program efficacy to curate the best opportunities.
  • Act as a dedicated advisor by preparing briefing materials and strategic grant recommendations.
Grant Management and Documentation
  • Supervise the full grant application process, ensuring operational efficiency from inception to completion.
  • Prepare comprehensive grant dockets for board review, including financial health and funding recommendations.
  • Monitor project progress and evaluate outcomes to ensure all initiatives meet established goals.
  • Maintain rigorous records to log and track grant lifecycles while reporting status to stakeholders.
Relationship Management and Impact
  • Establish and cultivate deep relationships within the nonprofit sector through event attendance and community engagement.
  • Act as a professional liaison with other funding organizations and community leaders.
  • Conduct program visits and organize site visits in Tampa and Nashville to verify organizational impact.
  • Track results from partners to produce impact reports that keep the foundation connected to its mission.
Governance, Finance and Compliance
  • Plan, prepare, and coordinate all board meetings, including agendas and supporting materials.
  • Manage the foundation's philanthropic budgets and monitor fiscal health across programs.
  • Supervise essential compliance tasks, ensuring all activities uphold the organization's philanthropic values.
EXPERIENCE AND QUALIFICATIONS
  • Professional Background: Must have at least 5+ years experience in Fundraising and building relationships with donors.
  • Operational Mindset: Strong skills in Budgeting and Project Management with a willingness to handle administrative tasks.
  • Research Expertise: Advanced knowledge of Charities and the nonprofit sector with expertise in evaluating potential partners.
  • Communication Skills: Proficiency in high-level written and verbal communication for reporting to stakeholders.
  • Organizational Discipline: Exceptional organizational and time-management capabilities.
  • Education: A Bachelor's degree in Nonprofit Management, Business, Public Administration, or a related field is preferred.

Compensation / Pay Rate (Up to): $85,000.00 - $110,000.00
