Position Summary Information

Job Description Summary

The Department of English in Wilkinson College of Arts, Humanities, and Social Sciences seeks a responsible and detail-oriented Student Office Assistant to provide administrative and creative support to the department's staff and faculty. The Student Office Assistant will assist with daily office operations, communications, and departmental projects while contributing to a welcoming and professional environment for students, faculty, and visitors.

This position offers students the opportunity to gain professional administrative experience while supporting the academic mission of the department. A letter of recommendation from a faculty member in the department of English will be a required part of the application.

Responsibilities
  • Provide general administrative support to department staff and faculty
  • Greet visitors and assist students, faculty, and guests in a professional and welcoming manner
  • Monitor and respond to departmental communications (email, phone, and in-person inquiries)
  • Assist with document preparation, filing, scanning, copying, and data entry
  • Maintain organized electronic and physical filing systems
  • Assist with departmental spreadsheets, tracking documents, and record keeping
  • Support event preparation and logistics for departmental programs, lectures, and events
  • Create flyers, announcements, and promotional materials using Canva
  • Assist with updating departmental materials and communications
  • Help maintain office organization and supplies
  • Perform other administrative or special project duties as assigned
Student administrative assistants at Chapman typically support office organization, data entry, communication with visitors, and event preparation while contributing to efficient departmental operations.

Required Qualifications
  • Must be a current Chapman University student majoring in English or Creative Writing
  • Strong written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to work independently and manage multiple tasks
  • Ability to maintain confidentiality and professionalism in an academic office environment
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and Microsoft Teams
Desired Qualifications
  • Previous administrative or office experience
  • Experience with Canva or graphic design tools
  • Interest in academic publishing, literary events, or departmental communications
  • Experience working in a collaborative office environment
