Job Summary: The DOT Compliance Specialist is responsible for ensuring company-wide compliance with Department of Transportation (DOT) regulations. This role involves monitoring driver qualification files, maintaining regulatory records, and collaborating cross-functionally to manage compliance-related processes. A successful candidate will be highly organized, adaptable, and capable of navigating sensitive compliance conversations.
Key Responsibilities
- New Driver Onboarding
- Review driver packets for missing information, reach out to branch if missing
- Create driver profiles in 3rd party license monitoring system
- Run 3 year DOT employment verification
- Create driver Samsara profile
- Ensure drivers have completed pre employment FMCSA Drug and Alcohol Clearinghouse Query
- Maintain Driver Qualification Files (DFQ)
- Check 3rd party license monitoring system and Barnhart enterprise system for valid DQFs. Communicate with branches for needed documentation.
- Deactivate drivers in 3rd party license monitoring system and Samsara who no longer work for Barnhart.
- Audit the branches for Driver File Compliance
- Maintain billing for 3rd party license monitoring system
- Samara Hardware Management
- New vehicle hardware ordering and installation
- Billing for Samsara invoices
- Assist in troubleshooting device Issues
- Quarterly: Coordinate Gateway replacements needed throughout the company
- DOT Incident Management: Inspections, Accidents and Reporting
- BASICs CSA scorecard monthly reporting:
- Analyze and provide violation information to leadership
- Submit DataQs if incorrect violation.
- Post Accidents CMV:
- Investigate driver compliance
- See DOT Post Accident/ Violation Checklist
- FMCSA Drug and Alcohol Compliance
- DISA Compliance Monitoring
- Update rosters monthly
- DISA Compliance Monitoring
- NCMS audits
- Drug Testing Compliance for all CMV Drivers (FMCSA Policy)
- Entry Level Driver Training (ELDT)
- Maintain Training Provider Registery
- Access needed: FMCSA ELDT
- Assist other departments as needed: Fleet, Sales, Maintenance, etc.
Qualifications:
- Strong verbal and written communication skills.
- Proficient in Microsoft Excel.
- Highly organized and detail-oriented.
- Comfortable navigating regulatory complexities and difficult conversations.
- Able to adapt to changing priorities and collaborate across teams.
- Prior experience in DOT compliance, transportation, or logistics preferred.
- Familiarity with FMCSA regulations, Samsara, Supervision, and DISA reporting tools is a plus.
- Must possess valid driver's license.
- Must pass drug test, fit for duty evaluation and background check.
