Compensation: Anticipated Starting Salary $42,457 - $47,174 per year, plus a comprehensive benefit package, which includes medical, dental, vision, life and LTD insurance, FSA, HRA, 403(b) retirement plan, paid holidays, personal business, sick leave, and vacation.

Summary:

The Donor Data Specialist works under the direction of the Director of Philanthropy and is a key member of the Philanthropy and Development Team. This position executes administrative, clerical, database and donor service functions of ASDM''s Philanthropy office by performing the following duties: processing of donations and donor acknowledgement, data recording and tracking, database clean up, responsibility for financial reporting, and mail list coordination and extraction. The Donor Data Specialist must have the ability to work independently and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with accuracy and discretion.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Manage day-to-day administration of Blackbaud database. In charge of daily gift processing and fulfillment of donations, donor acknowledgement, reporting, dashboard and list creation, donor record management, maintaining procedures to ensure accuracy, and maintenance of donor and prospect database files in Blackbaud Raiser's Edge NXT.

  • In charge of recurring donation program, tribute tracking program, matching gifts, quarterly address, email, phone, and deceased updates in NXT database, tracking and maintaining all appeal and fund numbers, monitoring accounts with third-party donation sites, and filing.

  • Executes detail-oriented record keeping of donations, accompanying documentation, and maintains and improves existing systems and processes to provide efficient gift processing and acknowledgement procedures. Develop data entry guidelines and procedures to create a working document for all staff using the database.

  • Tracks and researches donor questions, resolves complaints, and provides other information to donors in person, on the phone, by email, and in writing.

  • Collects and records receipts of contributions, uses accounting codes, performs and records deposits, commits batches, and completes reconciliations in coordination with Finance Office.

  • Assists with donor prospect research, wealth screening, and qualification. Locates new supporters, revises existing donor records, and generates reports, prospect lists, and mailing lists as required.

  • Oversees various Annual Giving and online fundraising programs, online certification renewals, ASDM wish list tracking and acknowledgment, and other departmental priorities.

  • Sends newsletters, promotional materials, and other publications to donors, persons on mailing lists, and other people as requested.

  • Executes list segmentation queries, exports, and prepares final mailing lists. Assists in the coordination and implementation of fundraising appeals and campaigns including donor solicitation letters, special mailings, and other confidential donor relations.

  • Assists in the production of, supports, and attends special events both at the Museum and off site.

  • Assists in supporting other staff and departments with cross training on database management.

Supervisory Responsibilities

This job has no supervisory responsibilities, but aids in coaching and coordinating work of temporary employees and volunteers.

Ability to apply concepts of basic algebra and geometry. Reasoning Ability Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, typed, texted, diagram, or schedule form. Other Skills and Abilities Strong editing skills; meticulous grammar and spelling. 10-key proficient and typing 75 w.p.m. Hospitable, articulate, patient, responsible, good listener, attention to detail, deadline oriented, and follows through on commitments. Ability to work collaboratively with co-workers, business partners, donors, volunteers, etc. Must be a self-starter and able to work independently as well as part of a team. Ability to handle multiple projects simultaneously with attention to detail and accuracy while adhering to deadlines in a fast-paced environment. Excellent organizational and time management skills. Demonstrate a high level of professionalism, confidence/confidentiality, and ethical standards. Strong problem solving and decision-making skills. Exceptional work ethic. Must respect and maintain confidentiality. Available to work a flexible schedule, hybrid with both in-office and remote work, including weekends, holidays, and occasional evenings for special events.
